Position: Plano Vehicle Citations Coordinator
Location: Plano, TX
Reports To: Vehicle Lifecycle Manager
DescriptionPenske Vehicle Services is responsible for the tracking, preparation, registration, exchange, and disposal of Toyota employee lease vehicles and other company cars. A variety of computer applications and software are utilized to ensure compliance with State and Department of Motor Vehicles regulations, as well as Toyota employee policies.
Essential Job Functions- Collect and sort incoming mail related to lease vehicle and company car citations/violations, tolls and other related items (hereafter referred to as “citations”)
- Scan and catalog the citations on a spreadsheet to ensure all items are properly tracked
- Using Penske proprietary software and other means, research the vehicle information from the citation to determine the party responsible to pay or resolve
- Email the scanned citation to the appropriate party with directions for payment and track responses
- Answer team member questions via phone, email or in person while displaying excellent customer service skills and an understanding of the lease benefit program
- As needed, assist with registration of vehicles (requires coordination with dealerships, vendors and DMVs)
- As needed, assist with lease contract and payroll deduction document creation and the team member signing process
- Understand the differences between vehicle types to ensure payroll deductions or department billing processes accurately
- Provide education to Toyota Team Members on overall processes such as accident reporting, driver screening, pickup of new lease vehicles and turn-in of end-of-lease units
Other duties as assigned by leadership.
Qualifications- High School diploma or GED required, Associate’s or Bachelor’s degree preferred
- Excellent customer service skills; strong verbal and written communication
- Must be a high energy individual with a strong work ethic and desire to succeed
- Strong analytical and computer skills
- MS Office Suite (Outlook, Teams, Word, Excel, PowerPoint, etc.)
- Must be able to multi-task while ensuring follow up and execution of required tasks
- High degree of organization and ability to work effectively in a fast-paced environment
- Ability to navigate challenging business environments while quickly assimilating to diverse client, and management team
