Summary:
  • Work Mode: Hybrid schedule requirement of a minimum of 3 days per week onsite
  • Location: Plano, TX, Pennington, NJ, or Richmond, VA (preferred location)
Responsibilities:
  • Provide diverse and confidential administrative support, including extensive calendar management.
  • Support management with administrative tasks, coordinating travel arrangements, and processing expenses.
  • Gather and report information relevant to the executive.
  • Assist with organizing in-person meetings and off-sites.
  • Manage different and conflicting objectives, projects, or activities in a responsive and personable manner.
  • Provide executive administrative support to multiple company executives.
  • Manage the schedule of executives, including meetings, tele-presence, and travel.
  • Schedule staff events and coordinate responses to correspondence and requests from outside groups and senior management.
  • Type memoranda and correspondence and maintain accurate records.
  • Prepare expense reimbursements and other related administrative duties.
  • Communicate with executives and line management to gather and convey relevant information.
  • Assist site leader with site-specific activities, access management, and organization.
  • Proactively manage multiple calendars, effectively resolving conflicts that arise professionally.
  • Manage all travel planning and expenses, coordinating schedules for executives to maximize time and create efficiencies.
  • Prepare meeting minutes and related meeting documents, utilizing written and oral communication skills.
  • Accurately arrange complex, detailed, and frequently changing travel plans and itineraries.
  • Assist with various administrative aspects of the department management.
Requirements:
  • Minimum 3 years of experience as an Administrative Assistant or comparable level of experience.
  • Demonstrated ability in either current or prior positions to interact with senior-level executives.
  • Ability to work independently, multi-task, manage time wisely, and handle confidential and sensitive material with the highest degree of integrity.
  • Must be proficient in MS Suite.
  • Ability to multi-task in an urgent and deadline-driven environment.
  • Accuracy and quality control – must demonstrate accuracy & thoroughness and monitor own work to ensure quality.
  • Excellent attention to detail and organizational skills.
  • Pro-active attitude with the ability to stay focused and maximize time efficiently.
Preferred Skills:
  • Prior company and Global Technology Experience.
  • Strong executive presence; superior interpersonal communication skills.
  • Co-Pilot Experience.
