Senior Administrative Assistant
We are seeking an experienced Senior Administrative Assistant to support the executive leadership team within the Authentication Technology organization in Plano, TX. In this role, you will partner closely with the Business Support Manager/COO to provide high-level administrative and operational support to senior executives. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced corporate environment while maintaining confidentiality and professionalism.
Key Responsibilities:
- Manage executive calendars, including scheduling meetings, conference rooms, telepresence, and travel arrangements.
- Coordinate executive schedules and prioritize appointments based on business needs.
- Organize team meetings, staff events, and departmental communications.
- Prepare meeting agendas, capture meeting notes, and document action items.
- Draft, edit, and distribute professional correspondence, presentations, and reports.
- Process expense reimbursements and maintain accurate administrative records.
- Order office supplies, coordinate access requests, and support onboarding activities.
- Respond to inquiries from internal and external stakeholders professionally and promptly.
- Support special projects and perform additional administrative duties as assigned.
- Maintain confidentiality while handling sensitive business information.
Required Qualifications:
- Minimum 3 years of administrative support or project management experience, preferably supporting senior executives.
- Previous experience as a Senior Administrative Assistant is required.
- Experience interacting directly with executive leadership and managing executive calendars.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- High attention to detail with the ability to work independently and proactively.
- Professionalism, integrity, and the ability to handle confidential information.
- Strong interpersonal and collaboration skills with the ability to work across multiple departments.
- Adaptable and able to thrive in a fast-paced, deadline-driven environment.
