Paralegal Support Role
This role supports compliance, legal, procurement, vendor due diligence, policy administration, training coordination, budgeting, invoice processing, accessibility initiatives, and general administrative functions. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects while working effectively with internal stakeholders, vendors, and legal counsel. Paralegal or equivalent experience is preferred.
Responsibilities- Support Legal and Compliance review of new vendors through the Vendor Evaluation Registration System (VERS).
- Conduct compliance reviews of vendor questionnaires, including verifying completeness and documenting relevant due diligence findings for legal counsel review.
- Communicate vendor risk ratings and related information to procurement teams as directed.
- Utilize compliance due diligence tools to validate vendors and coordinate completion of vendor due diligence questionnaires.
- Follow up with procurement teams, business requestors, and vendors regarding compliance-related inquiries and documentation requirements.
- Maintain accurate documentation and tracking of vendor compliance reviews, communications, and records using internal tracking tools and spreadsheets.
- Submit risk ratings, disclaimer language, and supporting documentation into designated compliance and vendor management systems.
- Coordinate posting of compliance policies and guidance documents to the company intranet.
- Assign and update tracking numbers and version control records for policy and guidance documents.
- Monitor departmental inboxes and conduct initial reviews of incoming communications.
- Respond to inquiries using approved templates and route requests to appropriate internal stakeholders.
- Prepare and distribute responses as directed by internal teams.
- Send conflict of interest (COI) and gift and hospitality acknowledgment communications as required.
- File and maintain departmental mailbox records.
- Track external compliance questionnaire requests and coordinate responses.
- Circulate questionnaire requests to subject matter experts and collect required information.
- Save, organize, and maintain completed questionnaire records.
- Maintain tracking logs of questionnaire activities using Excel spreadsheets.
- Respond to compliance-related questionnaire inquiries and escalate matters to counsel when necessary.
- Process invoices and purchase-related documentation while ensuring proper coding and recordkeeping.
- Maintain annual budget tracking records, including vendor details and expenditure monitoring.
- Assist with compliance training administration by downloading and maintaining training completion records.
- Coordinate transfer of training data to learning and development platforms as required.
- Schedule compliance training sessions and track employee attendance.
- Maintain attendance records and provide documentation for completion tracking.
- Review hotline reports and distribute them to the appropriate investigation teams.
- Support accessibility-related administrative activities, including vendor contract renewals and service tracking.
- Coordinate renewal timelines and documentation with legal and vendor contacts.
- Respond to accessibility-related inquiries in collaboration with relevant internal teams.
- Provide general administrative support, including scheduling meetings, preparing reports, printing materials, and supporting team operations.
- High school diploma or equivalent required.
- Additional legal studies, paralegal training, or related education is preferred.
- Paralegal experience or equivalent professional experience preferred.
- Experience supporting compliance, legal, procurement, vendor management, or administrative operations is preferred.
- Experience maintaining records, tracking processes, and managing documentation in a professional environment.
- Experience working with spreadsheets and tracking tools.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Strong written and verbal communication skills.
- Ability to coordinate with vendors, legal teams, procurement teams, and internal stakeholders.
