Essential Duties & Responsibilities, subject to change based on organizational needs, including but not limited to the following:
- Business Support:
Assist with vendor management and communication, preparing documents, processing invoices, event preparation, business coordination, and handling correspondence. - Operational Support:
Coordinate office moves, workstation setups, and seating arrangements. Maintain office cleanliness, organization, and readiness for daily operations. Assist with office supplies: inventory, ordering, stocking, and distribution. Support administrative tasks such as filing, printing, copying, and document organization. - Data Management:
Maintain and update electronic and physical files and datasets, ensuring accuracy and confidentiality. - Customer Service:
Provide excellent customer service to clients, visitors, and employees, addressing inquiries and resolving issues promptly and respectfully, respond to employee service requests promptly. - Technical Tasks:
The ideal candidate will understand how to use computer software tools to make tasks more efficient and easier to understand. Excel knowledge is a must. Other Duties:
Greet visitors, Receptionist backup, maintain a welcoming reception area, company vehicle coordination, catering arrangements for meetings or events, support in procurement and other duties as assigned.
Qualifications:
- Bachelor's Degree in Business Administration or related field, or equivalent experience.
- 5 year(s) of related or equivalent experience in the Manufacturing industry in a GA assistant role. Proficiency in English required.
- Bilingual in English & Mandarin, aligned with business needs, a plus.
- Flexibility to work some evening hours as needed.
- Proficient in Microsoft Office including Word, Excel, Outlook, Teams, PowerPoint, and/or other applications to streamline communication and complete tasks.
- Excellent verbal and written communication, attention to detail, and project management capabilities.
- Ability to work independently as well as collaboratively in a team setting.
- Ability to thrive in fast-paced environments, prioritize tasks effectively, and maintain attention to detail and quality.
- Ability to handle sensitive information with discretion.
