The role directly manages all aspects of the firm’s new office startup, relocation projects, and related operations worldwide. Responsibilities include bidding, pricing, project management of office design, construction, furniture, equipment, and other office issues.
Responsibilities- Contract and manage customer designs for each global office.
- Develop and execute facility construction projects.
- Handle furniture and equipment procurement, delivery, installation, maintenance, vending services, general procurement, financial analysis, and budget creation.
- Coordinate landlord and vendor interactions and invoice reconciliation.
- Collaborate with IT, Facilities, field leadership, and personnel to communicate with clients at affected locations.
- Ensure a minimum of three days in the Plano office per week; full‑time in‑office attendance preferred.
- Lead customer service activities with proactive, well‑written communications.
- Manage real‑estate personnel, construction punch‑list resolutions, and correction activities globally.
- Provide strategic and tactical direction on projects to meet corporate requirements and objectives.
- Conduct on‑site office visits to ensure proper equipment, recommend remedies, and manage office enhancement items.
- Define, source, recommend, procure, and ensure facilities‑related products and services are delivered and installed on schedule and at negotiated cost.
- Manage service‐related issues, vendor reporting, and payments; maintain spreadsheets; facilitate visitor parking, copier activity, vending services, equipment inventory, and miscellaneous purchases nationally.
- Identify and offer solutions for operational issues, potential problems, and efficiency predicaments.
- Monitor construction project schedules to plan and schedule multiple vendor product deliveries and installations in accordance with property management rules.
- Reconcile invoices and contracts for services performed by outside vendors and approve invoices for payment.
- Develop detailed project plans, source vendors and bids, create purchase orders, and execute appropriately to ensure office/employee relocation projects are completed on time, within budget, and per specifications.
- Manage and lead global architectural and engineering design and specification planning to meet office functionality needs.
- Develop requirements, obtain quotes, initiate purchases, and coordinate delivery and installation of rental furniture at temporary office locations.
- Track rentals and coordinate removal of office furniture at lease end.
- Manage multi‑million dollar construction spend and handle/all document tenant improvement reimbursements through landlords.
- Communicate the firm’s objectives and standards to vendors, contractors, and consultants; continually monitor performance for compliance.
- Initiate bids and scopes of work; organize, schedule, and coordinate vendors for routine service requests (security systems, A/V repairs, HVAC, electricians, plumbers, painters, etc.).
- Research issues, seek solutions, analyze bids, and recommend alternative actions for national purchasing and maintenance programs.
- Assist in identifying best practices and ongoing updates to firm procedures and policies.
- Perform other duties as assigned.
Bachelor’s degree in a related field preferred with a minimum of 10 years of related experience. Master’s degree is a plus.
Skills and Abilities- Proven ability to handle multiple projects simultaneously across multiple locations.
- Strong knowledge of design, construction, building systems, space planning, and working with landlords.
- Expertise in facilities project management, relocations, and multi‑vendor coordination.
