Assistant Director For Community Engagement And Special Events

Pay Grade: 870 (Min $400.54 per day) Work Days: 226

Primary

Purpose:

The assistant director for community engagement and special events is responsible for leading district wide community engagement initiatives, including volunteer management, the Retired Seniors Valued in Plano program, and the district's Leadership and Ambassador Program. The position is also responsible for planning and overseeing the production and logistics associated with Plano ISD's large signature events, school board meetings, school dedications, ribbon cuttings, recognitions and other relevant events.

The assistant director works closely with colleagues, volunteers, community partners and departments across the district to produce high-quality engagement opportunities and events that support the mission of Plano ISD. The position serves as the communications department liaison to the Plano ISD Partners in Education Program and supports strategies to attract and sustain community partnerships, sponsor ships and volunteer involvement. The assistant director also uses the district's designated customer relationship management (CRM) and volunteer platforms to track engagement and support outreach, relationship management and program administration.

Qualifications

Education/Certification:

Bachelor's degree, preferably in hospitality, event management, public relations, marketing, nonprofit management, communications or a related field Valid Texas driver's license Driving record that is insurable with Plano ISD's insurance carrier

Special Knowledge/

Skills:

Strong team building and event/project management skills Knowledge of best practices related to event logistics, risk awareness, stakeholder experience and large-scale event coordination Ability to manage multiple events and projects, along with work assignments from a variety of staff, volunteers and stakeholders Excellent communication skills, including writing, proofreading and public presentation Strong interpersonal skills with the ability to cultivate and maintain long-term relationships Ability to accomplish projects with little supervision and to a high degree of detail Strong customer service ethic and high expectations for quality Working knowledge of event planning and project management software Ability to use the district's designated CRM and community engagement platform to support outreach, volunteer management, communications and reporting General knowledge of Microsoft Office applications and communications-related software tools

Experience:

Minimum of five years of experience conceptualizing, planning and implementing large-scale events and community engagement initiatives Experience managing large events with 1,000 or more attendees required Minimum of three years of experience coordinating volunteers, partnerships or stakeholder engagement efforts Experience with donor relations in an education, nonprofit or corporate setting preferred Experience supervising staff and coordinating cross-functional projects preferred

Major Responsibilities and Duties

Lead planning and execution of large-scale and high-visibility district events, including staff recognition galas, ribbon cuttings, school dedications, school board meetings, graduations and other signature events Oversee event logistics such as venue, catering, décor, registration, materials, production and on-site support; occasional evening and weekend work required Obtain event vendor proposals and make recommendations to the chief communications officer or designee Work closely with department team members and district staff to produce event collateral, messaging, digital communications, publicity, social media support and audiovisual components Prepare event and program materials such as schedules, scripts, nametags, notebooks, gift bags, registration lists, seating charts and related support materials Assist with preparing budgets, soliciting donations and sponsors, and providing periodic progress reports for assigned programs and events Maintain accurate accounts of event and community engagement projects and programs, including check requests,…
