Overview
The Bid Coordinator is responsible for administrative support to the estimating department. As required, this position is focused on the bid process life cycle, from the initial inquiry to tracking and managing progress and presenting final bids to customers.
Responsibilities- Initial set up of project internally (Download, kickoff, file setup)
- Coordinates downloading and distributing construction plans, bid addendums, and RFIs.
- Understand and identify subcontractors that bid on specific project types and ensure they are being solicited.
- Ensures coverage is adequate (minimum three subcontractor bids per trade) for bids by the solicitation, follow-up calls, and emails.
- Coordinates with subcontractors to ensure bids are received promptly
- Manages subcontractor bid information by compiling received bids and maintaining the Bid Mail database, ensuring sub-bid information is accurate
- Build bid binders, scanning applicable information, and data entry.
- Prepares all estimating reporting, including the Bid Analysis Report.
- Develops and maintains subcontractor relationships.
- Responsible for working safely, both for self-protection and protection of co-workers, by supporting all Company safety efforts.
- Other duties as assigned.
- Experience with a high volume of calls
- Must have excellent organizational and time management skills to manage multiple bids while meeting deadlines.
- 2 – 5 years experience with bid coordinating or equivalent preferred.
- High school diploma or equivalent.
- Basic knowledge of bid coordination and preparation preferred.
- Experience collaborating and organizing on Bid Mail or a similar platform, preferred.
- Able to deliver a positive experience to customers and subcontractors.
- Motivated team player with a strong work ethic and desire to learn.
- Demonstrates strong written and verbal communication skills.
- Proficient with computers and familiar with Microsoft Software Suite.
- Experience with Adobe, Bluebeam, and Bid Mail is preferred.
- Able to identify a need, remove barriers, and have the know-how to make things happen.
- Values diversity of ideas, opinions, and people.
- Has good common sense and applied logic.
- Must possess or be able to obtain an appropriate state driver’s license before employment, along with a clean driving record and reliable transportation.
