- Manage and optimize the Media Director’s complex calendar, meetings and travel logistics promptly and accurately.
- Serve as the primary point of contact for supporting and scheduling production meetings.
- Prepare agendas, briefs, run-of-show documents for meetings, capture notes and track action items for production and cross-functional team meetings.
- Draft emails, correspondence and reports on behalf of the Media Director when needed.
- Interact with cross-functional teams and maintain up‑to‑date knowledge of all projects in development. Liaise with the media team, talent, managers, agencies or vendors to ensure over communication is met.
- Process and track release forms, contracts, expense reports, purchase orders, invoices and vendor paperwork in a timely and accurate manner.
- Maintain confidentiality regarding talent, budgets, and strategic initiatives.
- Help identify efficiencies, offer solutions, recommend new tools and processes and evaluate AI implementation opportunities.
- Perform general administrative and clerical support tasks as needed.
- Create and maintain project documentation for productions (timelines, call sheets, teleprompter scripts, transcripts, vendor lists, release forms, etc.).
- Open projects and track production and post-production workflows to ensure deadlines and deliverables are met (Google Drive, Asana, Frame.io, Rev etc.).
- Coordinate with editors, freelancers/vendors/contractors, managers and talent.
- Working alongside the Media Director and Studio Manager, assist with shoot logistics including crew bookings, location coordination, travel arrangements, itineraries and equipment rentals when needed.
- Jump into supportive production mode for shoots, creative sessions, live events, screenings, zooms/webinars, and content launches as needed.
- In collaboration with the Studio & Asset Manager, deliver and catalog production notes, assets, footage and data from shoots following the standard workflows in Asana and the asset management system.
- Support editors during post-production by tracking revisions and alerting teams of final deliverables.
- Facilitate production tracking and status updates.
- Participate in content pitching and ideation opportunities.
- Has the duty to interact with others as an ambassador of faith.
- Tasked with performing duties according to the Word of God and Biblical standards as drawn from the Holy Scripture.
- Serves as a messenger or teacher of faith according to e3 Doctrinal statements and beliefs.
- Has a duty to assist others to cultivate intimacy with God and growth in Christ-like character through personal and corporate spiritual disciplines.
- Bachelor’s degree preferred (Film, Media, Communications, Business or related field).
- At least 1–2 years of internship or assistant experience in production, entertainment (film/television), digital media, agency or creative operations environment.
- Experience supporting leaders or executives.
- Familiarity with post-production workflows.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Fast learner and proactive problem-solver who takes ownership.
- Discreet and trustworthy with sensitive information.
- Detail oriented with ability to juggle multiple projects, address priorities and needs and meet deadlines simultaneously.
- Proficiency in Microsoft Office and Google Workspace.
- Bonus if you have experience in project management tools and editing software:
Asana, Frame.io, Premiere Pro, DaVinci Resolve, etc. - Ability to remain calm under pressure and meet tight deadlines.
- Strong interpersonal skills and collaborative attitude with a warm, professional presence.
