Position Overview:

The Reservation Concierge (RC) is the first point of contact for our guests and plays a vital role in ensuring a seamless, welcoming, and supportive experience. The ideal candidate will have excellent communication skills, a strong customer service mindset, and the ability to manage multiple priorities with grace and professionalism.

This position reports to the Director of Operations and the Operations Manager.

Key Responsibilities
  • Serve as the primary point of contact for guests via phone, email, and other communication channels.
  • Assist guests with scheduling, rescheduling, and confirming spa and med spa appointments.
  • Provide accurate information about services, memberships, promotions, and policies.
  • Handle guest inquiries and resolve concerns promptly, escalating when necessary.
  • Maintain a professional, warm, and welcoming demeanor at all times to reflect the Hiatus brand.
  • Accurately document guest information and appointment details in the booking system.
  • Collaborate with team members and management to ensure a smooth guest experience.
  • Support sales efforts by recommending services, memberships, and retail products that align with guest needs.
  • Uphold confidentiality and compliance with spa/med spa policies and industry standards.
Qualifications
  • Previous customer service or call center experience preferred (hospitality, spa, or medical spa experience a plus).
  • Exceptional verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency with computer systems and booking software
  • Ability to remain calm and professional under pressure.
  • Flexible availability, including evenings and weekends.
  • Passion for wellness, hospitality, and delivering a best-in-class guest experience
