Spa Coordinator- Hospitality Team

Position Overview

We are seeking Spa Coordinators who will play a vital leadership role in ensuring the spa operates seamlessly and in alignment with Woodhouse standards. The Spa Coordinator oversees daily spa operations, supports the hospitality team, and ensures consistent execution of service, safety, and brand expectations.

Compensation: $55K+ per year plus a generous, world‑class benefits package.

Management on Duty (MOD) coverage is shared between two Spa Coordinators during spa operating hours:

• Monday–Friday: 9:00 a.m. – 7:00 p.m.
• Saturday: 9:00 a.m. – 6:00 p.m.
• Sunday: 10:00 a.m. – 6:00 p.m.

Additional leadership responsibilities may occur outside MOD shifts.

• Serve as Manager on Duty with authority over all operational matters while on shift.
• Ensure exceptional guest experiences and resolve concerns in real time.
• Provide guidance and support to staff to maintain operational excellence.
• Communicate daily priorities and expectations.
• Optimize scheduling and maintain quality control standards.
• Receive, verify, and manage spa inventory and supplies.
• Address urgent maintenance issues promptly.
• Provide hands‑on training, in‑the‑moment coaching, and feedback.
• Prepare and deliver daily reports to leadership.

• Manage team schedules and arrange staff coverage as needed.
• Participate in hiring, onboarding, and training new team members.
• Coach and develop team members with 30-, 60-, 90‑day check‑ins and annual performance reviews.
• Track professional licenses and ensure compliance with state regulations.
• Ensure treatment rooms, protocols, and product usage meet Woodhouse standards.
• Manage equipment maintenance, repairs, and inventory.
• Oversee budgeting for supplies, retail, and operational expenses, and ensure cost‑effective practices.
• Uphold guest service and quality control standards daily.
• Ensure the safety of guests and team members in accordance with safety policies.
• Coordinate and prepare for inspections and audits.
• Assist leadership in overall spa management and strategic initiatives.
• Monitor, review, and communicate monthly KPIs and operational metrics, tracking trends and variances to inform coaching, training, and operational decisions.
• Educate guests on spa services and retail products.
• Assist with purchase orders, inventory management, and Meevo database tracking, including identifying underperforming products.
• Protect and uphold The Woodhouse Brand and all corporate protocol.

• Minimum 5 years spa experience and 5 years of management experience.
• Leadership, flexibility, retailing, training, superior communication, sales, administration, advanced computer skills, and organizational skills.
• Experience with Meevo Spa software preferred.
• Team‑player mentality focused on staff happiness and a positive work atmosphere.
• Availability to work evening and weekend shifts as needed.

• Stand for up to 6 hours at a time.
• Walk across spa multiple times during shift, potentially up and down stairs.
• Lifting up to 30 lbs, bending, reaching, stooping, repetitive motion.
• Reasoning, problem solving, hearing, speaking.
• Fast steady‑paced environment with multiple priorities.
• Frequent customer interactions and ability to adapt to changes.
