POSITION: CONSTRUCTION ADMINISTRATON

We are currently seeking a highly organized, process-driven Construction Administrator to join our team s role requires a candidate with a proven professional history who can immediately assume responsibility for managing high-volume, critical project data and ensuring total documentation compliance.

The Core Job:
Data Integrity & Compliance

This is a heavily detail-oriented position requiring meticulous data entry, strict adherence to established Standard Operating Procedures (SOPs), and extensive document management.

Job Responsibilities:

Bid and Document Management:

* Maintain a comprehensive client list by updating and inputting new account and contact information.

* Oversee and review the accuracy of the bid schedule.

* Request, organize, and file bid documents (plans, specifications, estimates, etc.), ensuring proper documentation for each bid.

* Communicate bid information effectively with the estimating team.

* Handle addendums and provide necessary updates to the Estimating team.

* Manage plan holder lists for subcontractor bids and update information in the company's database.

* Maintain all bid-related spreadsheets and ensure timely submission of bid packages.

* Order bid bonds and Certificates of Insurance when required.

* Ensure all bid and prequalification packages are submitted and tracked accurately.

Client and Subcontractor Relations:

* Develop and maintain relationships with key clients and subcontractors.

* Update and maintain the company's Statement of Qualifications and project resumes.

* Research upcoming projects and provide relevant project data to management.

Future Development & Training Areas

Once core job responsibilities are mastered, this role offers comprehensive training and growth opportunities in critical project operations support, which includes:

* Contract Administration:
Learning to assist with contract preparation, documentation, and securing all required contract bonds and insurance certificates.

* Project Documentation Management:
Developing proficiency in maintaining and filing specialized contract-related documents.

* Advanced Administrative Support:
Expanding administrative support to Project Managers and Engineers.

Qualifications

* Education:

High School Diploma or equivalent required.

* Experience:

Minimum 2 years of relevant professional experience with a demonstrated track record in a role demanding exceptional attention to detail, high-volume data processing, and strict adherence to Standard Operating Procedures (SOPs) or documentation standards.

Skills:

* Exceptional Detail Orientation and Process Adherence (REQUIRED):
Proven ability to follow complex Standard Operating Procedures (SOPs) precisely and identify subtle data inconsistencies or errors.

* Proven ability to manage multiple projects/activities and prioritize tasks in a dynamic, fast-paced environment.

* Superior organization and documentation skills.

* Strong interpersonal skills and ability to work positively with cross-functional teams.

* Ability to interact and communicate effectively and positively both verbally and in writing (in English).

* Must have a working knowledge of Microsoft Outlook, Word, and Excel. Must have the ability to master company-specific software quickly.
