About the Role:
Diaz Anselmo & Associates P.A. is seeking a detail-oriented and highly organized Fee Approval Specialist to join our growing team. This position plays a critical role in supporting our billing operations by reviewing, submitting, and managing fee approval requests while ensuring compliance with client billing guidelines and firm policies.
What You'll Do:As a Fee Approval Specialist, you will be responsible for ensuring fee requests are processed efficiently and accurately while maintaining strong communication across departments and with clients.
Key Responsibilities:- Review, prepare, and submit fee approval requests in accordance with client billing requirements and guidelines.
- Partner with attorneys, billing professionals, and internal teams to resolve billing discrepancies and non-compliant entries.
- Monitor workflow queues and ensure requests are processed accurately and within required timelines.
Communicate professionally with clients regarding escalated fee approval matters. - Coordinate with multiple departments to gather required documentation and ensure complete submissions.
- Maintain knowledge of client billing platforms and requirements, including Legal Tracker, Tempo, and other fee management systems.
- Assist team members during periods of high volume, backlog, or staff absences.
- Support cross-training initiatives, system enhancements, and special projects as needed.
- High school diploma required.
- Associate's degree or Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
- Previous experience in legal billing, fee approvals, accounts receivable, or a related administrative role is a plus.
- Proficiency with Microsoft Office Suite, particularly Excel and Outlook.
- Experience with Perfect Practice, ICE, Tempo, PAID, Legal Tracker, or similar platforms is preferred.
- Exceptional attention to detail and accuracy.
- Strong organizational, time-management, and communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Self-motivated with the ability to work independently while collaborating effectively with a team.
- Standard office duties including sitting, typing, and occasional lifting (up to 20 lbs).
