RequirementsEssential Tasks for the Planner / Senior Admin Assistant:
Master Planner Platform
- Schedule client audits based on requests from Program Coordinators and Assistants.
- Create and maintain clients, projects, programs, audits, and activities in Master Planner.
- Enter shadow audits, joint audits, training, exams, courses, sick days, vacations, holidays, and auditor availability.
- Assign report writing days according to established team parameters.
- Create Master Planner users and logins for new team members.
- Maintain accurate and up-to-date planning information.
- Coordinate interoffice services requested by or provided to CU USA.
- Follow up weekly with clients to confirm, schedule, or reschedule audit dates.
- Contact clients by phone when email follow-ups receive no response.
- Send initial scheduling emails to new clients with available audit dates.
- Send audit confirmation email once the dates are finalized.
- Communicate cancellation fee policies when applicable and immediately notify the appropriate teams and auditors of cancellations or changes.
- Coordinate availability and scheduling with freelance auditors and other offices.
- Process client resignation notifications and include the appropriate Program Coordinator/Assistant and Accounting team.
- Review previous-year audit information quarterly to identify upcoming renewals and notify Program Coordinators.
- Support the tracking of certification schedules, timelines, submissions, approvals, and related activities.
- Retrieve and enter CUSI lists for applicable standards, excluding textiles, every three months.
- Update textile clients individually in the planning list using information from ICU.
- Support the collection and maintenance of auditor qualifications and other required documentation.
- Assist with identifying and coordinating qualifications required for auditors.
- Communicate with internal stakeholders to gather required information, updates, and documentation.
- Maintain accurate records across applicable planning and certification platforms.
- Support the tracking of certification schedules, timelines, submissions, and approvals.
- Manage audit scheduling, renewals, and freelance auditor coordination.
- Monitor Planner KPIs and auditor utilization, with a target of maintaining at least 8 audit days per auditor per month, while leveraging regionalization to optimize scheduling, reduce travel time, and improve operational efficiency.
- Maintain planning, reporting, and data systems, including Power BI, accounting systems, Master Planner, and master spreadsheets.
