Duties Description
• Receive incoming telephone calls, transfer calls, and take messages accordingly.

* Request, collect, and receive documents, letters, emails, and faxes, and distribute accordingly.

* Proofread legal documents for spelling, grammar, and punctuation.

* Manage Outlook calendars for multiple attorneys in various offices, and flag case coverage issues as needed.

* Provide back-up assistance for other support staff as needed, to include collecting, scanning/documenting, distributing incoming/outgoing mail, answer phones/door, and other administrative tasks as needed.

* Scan documents for attorneys.

* Open and organize files.

* Create and/or manage local office contributions to agency-wide Excel spreadsheets and keep track of entries.

* Learn and become proficient with the NYMatters database to assist in retrieving and entering information and generating reports as necessary.

* Learn and become proficient with the Paper Archive Management database to assist with the archiving and retrieval of records.

* Work collaboratively and build trust relationship with attorneys and other administrative staff to ensure team approach in all work performed within the office.

* Perform other duties and ad hoc tasks as necessary or assigned.

Minimum Qualifications NY HELPS:

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

QUALIFICATIONS:

One year of clerical experience.

OTHER WAYS TO QUALIFY:

Eligible for a lateral transfer or eligible for transfer under Section 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title.
