We have grown quickly in a short amount of time, and that growth depends on strong, trusted referral relationships. This role plays a key part in building and maintaining those partnerships through consistent, professional, in-person outreach.
Position SummaryThe Community Outreach Specialist is a part-time, field-based role focused on developing and maintaining referral partnerships across Northern Utah. This role is ideal for students or early-career professionals interested in medical sales, healthcare marketing, or clinical operations.
You will represent Whole Mind in hospitals and primary care offices by communicating our services clearly, distributing educational materials, and building relationships with providers and clinic staff. Success in this role requires strong interpersonal skills, proactive problem-solving, and the ability to independently manage a structured outreach schedule.
This position offers real healthcare exposure, consistent mentorship, and the opportunity to grow into a full-time role in the future based on performance and organizational needs.
Key Responsibilities Clinic Outreach & Relationship Development- Conduct in-person clinic visits per week across assigned Northern Utah regions
- Focus outreach on hospitals, primary care offices, health systems, and multispecialty clinics
- Build and maintain relationships with providers and key clinic staff, including office managers, referral coordinators, and nursing staff
- Represent Whole Mind professionally in all interactions
- Distribute approved outreach materials including pamphlets, flyers, and educational handouts
- Bring small, thoughtful goodies (treats, snacks, branded items) to support relationship‑building
- Work within an approved monthly outreach budget, with purchases approved in advance
- Enter detailed visit notes, progress, and relationship status in the CRM (Go High Level )
- Document visit purpose, key contacts, conversations, follow‑up cadence, and next steps
- Maintain accurate, up‑to‑date records to support continuity and accountability
- Educate clinics on Whole Mind’s services and referral pathways
- Track referrals attributed to outreach activity using provided tools
- Coordinate efforts, where appropriate, with local Spravato pharmaceutical sales representatives
- Follow up with clinics to answer questions and support patient access
- Maintain a consistent weekly outreach schedule with minimal oversight
- Solve problems independently and adapt when challenges arise in the field
- Submit brief weekly updates summarizing visits completed, referral activity, and feedback or obstacles encountered
- Meet weekly, in person at the Pleasant Grove headquarters, with the Chief Marketing Officer for coaching, feedback, and alignment
- 3–4 qualified patient referrals per week attributed to outreach activity
- Accurate, timely CRM documentation
- Consistent professionalism, follow‑through, and reliability
- 1–3 years of experience in healthcare (medical marketing, healthcare sales, clinical operations, patient coordination/scheduling, or similar)
- Comfortable in provider‑facing environments and confident initiating in‑person conversations
- Self‑directed, highly organized, and able to manage a field‑based schedule independently
- Confident, kind, and professional, with strong communication skills
- Proactive problem‑solver who adapts well in busy, fast‑moving clinical settings
- Comfortable handling rejection, non‑responses, and variability inherent in outreach work
- Willing to spend significant time driving and visiting clinics in person
- Comfortable using CRMs and basic digital tools to document activity and follow‑up
- Open to feedback and interested in building a career in medical sales or healthcare growth
- $18/hour
- 15–20 hours per week
- Gas reimbursement for work‑related travel
- A qualified patient referral is when a new patient completes an intake appointment and is verified as originating from outreach efforts
- Monthly performance bonus up to $300 for consistent performance and continuity[AC1]
- Criteria for this bonus will be established at the start of employment
