Summary

The HR Assistant plays a crucial role in delivering the first impression of Martin to guests and employees. They serve as the primary point of contact for information flow at the corporate office, provide customer service to visitors, and offer clerical support across various corporate functions.

Key Responsibilities
  • Greet and provide exceptional customer service to visitors at the corporate office.
  • Answer phone calls, including company and HR lines, and direct calls to the appropriate individuals.
  • Update and distribute directories to ensure accurate contact information.
  • Request simple Certificates of Insurance (COI) for customers as needed.
  • Track and maintain records of COIs requested by Martin.
  • Provide clerical support to the HR department, including copying, filing, mailing, and returning phone calls.
  • Sort and open mail received at the corporate office.
  • Update the Fleet List, accurately recording the locations of vehicles.
  • Maintain Fleet files, including titles, insurance, and tag renewals.
  • Process recalls on Martin vehicles, ensuring appropriate follow-up and completion.
  • Distribute OSHA Logs annually.
  • Distribute any correspondence to branches, such as new labor law posters and well-being campaigns.
  • Assist with monthly audit of benefit enrollment and billing.
  • Coordinate and schedule all special events at the corporate office.
  • Maintain driver Motor Vehicle Record (MVR) records and qualification process.
  • Serve as a super user on the Digium phone system, creating, assigning, and maintaining phone system training for new hires and employees utilizing new features.
Qualifications
  • Previous experience in office support roles.
  • Proficiency in Office products.
  • Excellent communication skills, both verbal and written.
