Description Clinic Coordinator

Reports To:

Chief Operating Officer (COO), Clinical Director, and designated leadership FLSA Status:

Position Summary

The Clinic Coordinator supports daily clinic operations, staff accountability, recruitment, onboarding, mentorship, communication, events, supplies, safety, and clinic organization. The Coordinator works with clinical and administrative leadership to maintain a safe, organized, engaging, and professional clinic environment.

Core Responsibilities Staff Support & Accountability

Hold staff accountable to organizational policies, expectations, and performance standards.

Support recruitment, interviews, onboarding, orientations, and new-hire training.

Coordinate mentorship placements and oversee Verified Trainers.

Monitor staff support needs and communicate performance concerns to leadership.

Provide operational support to staff throughout the clinic day.

Clinic Operations

Support daily opening, closing, organization, cleanliness, and clinic readiness.

Assist with staffing needs and provide floor support as needed.

Assist with curriculum and stimulus preparation under clinical direction.

Provide limited client support when necessary to maintain service continuity.

Maintain appropriate boundaries regarding clinical decision-making and refer clinical concerns to BCBAs or designated leadership.

Events & Engagement

Plan and support company, clinic, staff, and community events.

Coordinate event setup, decorations, supplies, communication, and cleanup.

Create flyers, signage, announcements, and other event materials.

Promote events, celebrations, staff recognition, and organizational initiatives.

Support holiday and special-event decorations throughout the clinic.

Promote staff engagement and a positive sense of community.

Communication

Communicate clinic announcements, schedules, expectations, and updates to staff.

Create and distribute communication materials as assigned.

Support effective communication between direct-care staff, Seniors, BCBAs, and leadership.

Monitor and maintain inventory of clinic, office, clinical, and event supplies.

Identify shortages and submit requests for approved supplies.

Organize supply areas and prepare materials for events and daily operations.

Safety & Emergency Procedures

Monitor general compliance with clinic safety and emergency procedures.

Maintain awareness of emergency supplies and communicate identified needs.

Assist with emergency drills and safety activities.

Identify and promptly report safety concerns.

Follow established procedures during emergencies, injuries, behavioral crises, and other safety-related situations.

Administrative Responsibilities

Maintain records related to assigned responsibilities, including supplies, inventory, events, and operations.

Participate in meetings and organizational initiatives.

Support implementation of organizational policies and procedures.

Complete additional duties as assigned.

Physical Requirements

Ability to remain active throughout the workday and move throughout the clinic.

Ability to sit, stand, walk, bend, kneel, reach, and respond to behavioral or safety situations.

Ability to lift up to 20 pounds regularly and heavier items with assistance when appropriate.

Ability to assist with event setup, decorating, moving supplies, and organizing clinic spaces.

Ability to use computers and other technology required for the position.
