Bookkeeper

Description

We are looking for a detail-oriented part-time Bookkeeper on a contract basis with the potential for a permanent position. This position will support day-to-day construction accounting activities, including billing, payroll, payables, and project cost tracking. The ideal candidate brings hands-on Quick Books experience and can maintain accurate financial records while partnering with project teams and managers.

Responsibilities:

- Set up new jobs in Quick Books Desktop and organize project cost structures to support accurate financial tracking.

- Monitor project-related spending, subcontractor charges, commitments, and approved change activity throughout the lifecycle of each job.

- Create and issue monthly customer billings and progress invoices in a timely and accurate manner.

- Review subcontractor invoices for completeness, confirm supporting documents are in place, and route items for proper approval before payment.

- Prepare job cost reporting and share financial updates with Project Managers to help them understand budget status and project performance.

- Process a high volume of accounts payable transactions each week, averaging about 100 invoices, while maintaining accuracy and timeliness.

- Enter employee time into Quick Books and run weekly payroll for approximately 68 employees.

- Assist with audit preparation and help maintain compliance records related to construction accounting requirements.

- Work closely with internal project stakeholders to keep contract documentation current and ensure change orders are recorded correctly.

Requirements - At least 2 years of bookkeeping experience, preferably in a project-based or construction-related environment.

- Practical experience using Quick Books Desktop for accounting, billing, payroll, and job cost tracking.

- Working knowledge of accounts payable, accounts receivable, and bank reconciliations.

- Ability to manage multiple deadlines and maintain accuracy in a fast-paced workload.

- Experience reviewing invoices, supporting documentation, and financial records for completeness and correctness.

- Strong organizational and communication skills to coordinate effectively with Project Managers and project teams.

- Comfortable handling weekly payroll processing and maintaining confidential employee and financial information.
