Eagle Electric is a family-owned, union electrical contracting company in Pleasanton. We're hiring an Office Manager who knows Quick Books Desktop and understands construction accounting. You'll run our office: payroll, certified payroll, AR, AP, and the paperwork that keeps our union jobs compliant.
What you need
● Solid experience with Quick Books Desktop (Enterprise)
● Payroll processing experience, including certified payroll
● AR/AP experience: invoicing, billing, reconciliation
● Strong Microsoft Office skills (Excel, Word, Outlook)
● Sharp attention to detail and the ability to juggle multiple jobs at once
● Confident phone skills and strong customer/vendor communication
Nice to have
● Construction or electrical contracting office experience
● Union payroll or fringe benefit reporting experience
● Background covering accounting, HR, or admin for a contracting business
What you'll do
● Run day-to-day office administration
● Process weekly payroll for union and non-union employees, plus weekly certified payroll reports
● Handle all AR/AP: invoicing, billing, bank reconciliation, and prep work for quarterly and year-end taxes
● Keep job files, licenses, insurance certificates, and vendor/customer records organized
● Manage insurance certificates and renewals, including follow-up calls to subcontractors
● File preliminary lien notices and lien releases
● Submit monthly union transmittals and keep fringe benefit reporting current
● Support project management with RFIs, submittals, and closeout documents
● Handle EDD unemployment and workers' comp claims
● Keep the office running: supplies, filing, general organization
