Job description:

We are seeking a detail-oriented and proactive Property Administrator to join our team. The ideal candidate will play a crucial role in managing property operations, ensuring smooth administrative processes, and maintaining high standards of tenant satisfaction. This position requires a blend of administrative skills, facilities management knowledge, and an understanding of real estate practices.

Essential Duties and Responsibilities
  • Draft and distribute professional correspondence including letters, emails, and notices.
  • Prepare and track service agreements and purchase orders.
  • Create and maintain digital lease files and organized property records.
  • Utilize Yardi Voyager to input lease data, generate reports, and prepare work orders.
  • Coordinate tenant service requests with GSMC Facility Engineers and vendors to ensure timely resolution.
  • Manage tenant receivables and support collection activities as needed.
  • Review and process invoices for initial approval prior to final submission.
  • Maintain accurate tenant and vendor contact lists.
  • Organize and update online property files on I/Share.
  • Track and maintain Certificates of Insurance (COIs) for tenants and vendors.
  • Conduct property inspections and site visits as directed.
  • Communicate updates and issues to team members in a timely manner.
  • Assist the Property Manager in tracking expenses and entering data into annual operating budgets.
Qualifications
  • Minimum 2–3 years of administrative assistant experience
    , preferably in property management or a related field.
  • College degree or equivalent work experience.
  • Excellent communication skills
    —both verbal and written.
  • Proficient in Microsoft Word, Excel, and Outlook
    .
  • Experience with Yardi Voyager or other property management software preferred.
  • Strong organizational skills
    , time management
    , and follow-up abilities
    .
  • Ability to prioritize multiple tasks while maintaining attention to detail.
  • Professional demeanor, reliability, and commitment to providing excellent customer service.
