SummaryUnder the direction of the Intake and Billing Supervisor, the Intake Specialist serves as the first point of contact for individuals seeking services. This role involves collecting detailed information, assessing needs, and directing individuals to the appropriate resources or departments. The Intake Specialist ensures that all required documentation is completed accurately and efficiently and provides excellent customer service throughout the intake process.
Key ResponsibilitiesProviding valuable administrative support in various capacities. Duties include but are not limited to the following.
- Client/Patient Interaction:
- Greet and engage with clients, patients, or customers in a professional and compassionate manner.
- Conduct initial interviews to gather personal, medical, or legal information as relevant to the field.
- Answer questions and provide general information about the services offered.
- Data Collection and Documentation:
- Collect and verify essential information, such as contact details, insurance information, medical history, or legal case details.
- Ensure accurate and timely entry of data into the organization’s systems.
- Obtain necessary signatures and ensure all intake forms are completed and filed correctly.
- Assessment and Referral:
- Assess the unique needs of the individual based on the collected information.
- Identify the appropriate services, resources, or departments to address the individual's needs.
- Make referrals or schedule appointments with the relevant departments or specialists.
- Compliance and Confidentiality:
- Adhere to all legal and organizational policies, including confidentiality and privacy regulations (e.g., HIPAA in healthcare).
- Ensure that all interactions and documentation comply with industry standards and regulations.
- Communication and Coordination:
- Communicate effectively with internal teams to ensure smooth transitions for clients, patients, or customers.
- Coordinate with other departments to facilitate service delivery.
- Provide updates to clients or patients regarding their intake status or next steps.
- Customer Service:
- Address any concerns or complaints in a timely and professional manner.
- Provide ongoing support and follow-up as needed.
- Maintain a positive and empathetic attitude in all interactions.

- Education:
High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred. - Experience:
Previous experience in a customer service, administrative, healthcare, or legal setting is highly desirable.
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Proficiency in data entry and familiarity with relevant software applications.
- Ability to work independently and as part of a team.
- Attention to detail and a commitment to accuracy.
