Administrative Assistant

Plymouth, MA | Part-Time | On-Site

Position Summary

We are seeking a highly organized, professional, and dependable Administrative Assistant to support our leadership team and daily office operations. This role is ideal for someone who thrives in a fast-paced small business environment, enjoys wearing multiple hats, and takes pride in keeping an office running efficiently.

Reporting to the Vice President of Training & ACCESS Operations, you'll support executives, employees, customers, and vendors while managing a variety of administrative, office, travel, HR, and accounting-related tasks.

Key Responsibilities
  • Provide administrative support to company leadership.
  • Manage calendars, meetings, travel, and scheduling.
  • Prepare correspondence, reports, presentations, and business documents.
  • Answer phones, greet visitors, and manage mail and deliveries.
  • Maintain office supplies, records, and company files.
  • Coordinate meetings, travel arrangements, and special events.
  • Support employee onboarding, HR administration, and confidential personnel records.
  • Assist with customer and vendor communications and documentation.
  • Maintain electronic and paper records using Microsoft Office and
  • Provide light accounting support, including organizing invoices, expense reports, purchase orders, and documentation for bookkeeping. (This is not a bookkeeping position.)
  • Assist with special projects and help maintain an organized, professional office.
Qualifications Required
  • Associate's degree or equivalent experience.
  • 3+ years of administrative, executive assistant, or office management experience.
  • Strong Microsoft Office skills (Word, Outlook, Excel).
  • Familiarity with Quick Books.
  • Excellent organizational, communication, and multitasking abilities.
  • High level of professionalism, discretion, and attention to detail.
Preferred
  • Experience supporting senior executives.
  • Experience in a small business environment.
  • HR onboarding experience.
  • Experience with
  • Travel coordination experience.
  • Experience working with government, technology, or law enforcement organizations.
Additional Requirements
  • Ability to pass a criminal background check and meet CJIS security requirements.
  • Valid driver's license and reliable transportation.
  • Occasional local travel as needed.
