Job SummaryThe primary function of the Recording Secretary is to attend a variety of public meetings as scheduled by Plymouth Township and accurately transcribe minutes for such meetings. The position is responsible for thorough record keeping of meetings, providing finalized meeting minutes timely to the Township, and other duties as assigned. Working hours will fluctuate week to week depending on scheduled meetings and associated commitments.
Meeting schedules will be announced in advance to allow for appropriate planning but will generally consist of at least four meetings per month.
- Attend, record and transcribe minutes from the Board of Trustees, Planning Commission and Zoning Board of Appeals meetings, and other meetings as required.
- Perform rapid and accurate typing and transcription of correspondence, reports minutes of meetings and other documents.
- Distribute minutes of public meetings as required.
- Type drafts from rough copy or recordings, produce copy according to required format, edit copy on video display and correct errors, transmit typed material electronically to peripheral storage equipment and to computer for production of final copy.
- Utilize audio recording equipment, computers, typewriters and software programs for the majority of work performed.
- Assist in the election process as required.
- Assist records manager in preparing documents for scanning.
- Perform other duties as required.
Skills and Abilities
- High school diploma or equivalent and some additional training through vocational secretarial school or a related field is strongly preferred.
- One or more years of related experience are required.
- Knowledge of standard office practices and procedures.
- Knowledge of the rules of grammar, punctuation and spelling.
- Ability to type and transcribe with speed and accuracy.
- Skill in the use of Dictaphone, other recording equipment, general office equipment, and computers and related software.
- Ability to attend meetings outside of normal business hours.
- Ability to work constructively and interact professionally with other employees, elected and appointed representatives and the general public.
The Recording Secretary spends the majority of their time in an office setting with a controlled climate where they sit and work on a computer for extended periods of time. Duties include, but are not limited to, communicating by telephone, email or in person, and moving around the office or traveling to other locations to attend meetings as necessary.
