Copeland Buhl is looking to add an Outsourced Payroll/Accounts Payable Specialist to our Outsourced Accounting service line.
DescriptionAs an Outsourced Payroll/Accounts Payable Specialist, you will be responsible for executing clients' accounting and payroll functions as part of a team. You will work primarily with a variety of entrepreneurial business owners, maintaining regular client contact to service existing needs, maintaining a timely and accurate financial picture, providing reports, and participating in discussions.
Key Responsibilities- Manage payroll recording and ensure payroll is recorded correctly in the general ledger.
- Process client payroll and maintain communication with clients for HR changes.
- Respond to payroll inquiries with client contact and document resolutions.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Work with clients to transition and onboard them from one payroll software to another.
- Be the main resource for payroll software questions (Gusto, ADP, Paychex, Paylocity) within the Outsourced Accounting Department.
- Review and propose resolution on payroll notices received by clients, including, but not limited to, preparing or amending the required filings at the federal, state, and local level.
- Prepare amended filings as needed.
- Manage year‑end adjustments for clients such as shareholder health insurance, personal use of auto, and other W-2 specific requirements.
- Manage accounts payable, ensuring all payments are made in a timely and accurate manner. Accounts payable transactions are processed in multiple systems including QBO, and
- Manage multiple client deadlines and prioritize work accordingly.
- Identify various compliance and reporting issues, research solutions, and present recommended solutions.
- Use a proactive approach to resolving client issues.
- Communicate results to clients or the internal team in a timely manner.
- Collaborate with internal team on challenges and recommend possible solutions.
- Maintain charge hours within firm standard range.
- Strong communication and interpersonal skills.
- Excellent numerical skills and attention to detail.
- Ability to multitask, easily switching between multiple clients as needed.
- Ability to document discussions and process client‑requested changes correctly.
- Proficient with Microsoft Office Suite.
- Strong knowledge of payroll processes and tax regulations.
- Associate’s degree in accounting.
- Quick Books Online, Gusto, and experience.
- Hourly pay
