We are seeking a dependable, detail-oriented Assistant Accounting & Administrative Assistant to support the daily operations of our busy lumberyard. This position plays a vital role in maintaining accurate accounting records, assisting with office administration, and providing exceptional customer service.
The ideal candidate will have strong computer and organizational skills, enjoy working with numbers, and be comfortable interacting with customers, vendors, and fellow team members.
Key Responsibilities
Accounting Duties
- Enter and process accounts payable invoices.
- Enter and apply accounts receivable payments.
- Reconcile daily cash receipts to point-of-sale transactions.
- Assist with monthly billing and month-end accounting activities.
- Perform inventory adjustments as needed.
- Process customer returns and credits.
- Receive purchase orders and inventory transfers.
Administrative Duties
- Answer and direct incoming phone calls.
- Maintain accurate and organized filing systems for invoices, purchase orders, and other records.
- Provide professional customer service and administrative support.
- Handle confidential customer, company, and employee information with discretion.
- Support management and team members with various office projects and daily tasks.
Qualifications
Required Skills & Abilities
- Strong computer skills, including proficiency with Microsoft Office applications.
- Excellent mathematical and data-entry accuracy.
- Ability to accurately enter customer orders and verify order details.
- Strong organizational and time management skills.
- Ability to work independently with minimal supervision.
- Strong interpersonal and communication skills.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- Ability to exercise sound judgment and maintain confidentiality.
- Ability to research discrepancies, identify errors, determine appropriate solutions and make accurate corrections.
Preferred Qualifications
- Previous bookkeeping, accounting, or administrative experience.
- Experience with accounts payable, accounts receivable, or inventory management.
- Experience in retail, construction, lumberyard, agricultural, or related industry is a plus.
