Job Summary — Purchasing Coordinator

The Purchasing Coordinator provides administrative support to the Purchasing Department, managing vendor records, insurance, bidding packages, and coordination with accounting and field operations.

Responsibilities
  • Track subcontractor/supplier insurance using the IDS database.
  • Distribute new vendor/subcontractor packages.
  • Perform filing, copying, and other administrative tasks within the department.
  • Assist Purchasing with bidding for new projects.
  • Interface with Accounting to ensure timely payment for subcontractors.
  • Input, print, and fax information to trades using JD Edwards.
  • File and mail Notices of Completion.
  • Order appliances and plot plans for each community.
  • Prepare and distribute bidding packages, new vendor setups, production reports, and product cut‑sheets.
  • Assist in field operations administration and coordinate plan‑ordering activities.
  • Process utility deposit refund requests and audit contractor license information.
  • Maintain lumber tracking spreadsheet and Master Trade Partner/Bid lists.
  • Provide backup support for Contracts Administrator and receptionist duties.
Qualifications
  • High school diploma or equivalent required; college education preferred.
  • At least 2 years of office or administrative experience.
  • Proficient with computers; experience with JD Edwards, AutoCAD, Buzzsaw, Build Pro/Supply Pro, and Excel.
  • Strong writing, organizational, and multitasking skills.
  • Strong work ethic, integrity, and loyalty.
  • Effective team player able to work under pressure.
Physical & Office Requirements

Regular in‑person attendance is essential. The role may require working more than eight hours per day in confined spaces, operating a motor vehicle, reading plans, climbing stairs and ladders, lifting up to 50 lbs., and occasional operation of construction equipment.

Compensation & Benefits

Hourly rate $19.15 – $31, subject to adjustment. May be eligible for bonuses and commissions. Base benefits include medical, dental, vision, 401(k) with up to 5% match, paid parental leave, vacation, holiday, sick leave, and other benefits as per company policy.
