ABOUT THE ROLE:

Lexitas is seeking a highly organized and detail-driven Process Service Specialist to support the execution and coordination of legal service jobs across departments. This role is critical in ensuring the accuracy, timeliness, and responsiveness of client interactions, with a strong focus on onboarding new clients, managing service requests, and maintaining data integrity.

The ideal candidate is a self-starter with exceptional customer service skills, strong attention to detail, and the ability to thrive in a fast-paced, collaborative environment.

Key Responsibilities
  • Own the client experience by providing prompt, professional, and accurate responses to email inquiries and service requests.
  • Process client orders efficiently, ensuring all job details (billing instructions, service types, associated parties) are captured and entered accurately.
  • Manage the onboarding of new clients, including entering firm data, preferences, and requirements into internal systems.
  • Coordinate fulfillment of service requests across departments, ensuring seamless communication and timely execution.
  • Monitor job status, update client records with progress notes, and follow up on outstanding tasks.
  • Run, monitor, and distribute reports related to job execution and performance.
  • Liaise with sales to support client retention and flag potential client issues or new lead opportunities.
  • Ensure billing data is accurate and escalate for management review as needed.
  • Provide support to inbound call queues and participate in after-hours/on-call duties as required.
  • Uphold all HIPAA, privacy, and confidentiality standards in managing sensitive case information.

Qualifications
  • High school diploma or equivalent required.
  • Minimum 1 year of experience in customer service, administrative support, or the legal services field.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Adobe Acrobat).
  • Typing and data entry experience required; knowledge of touch-typing systems preferred.
  • Familiarity with legal terminology or deposition notices is a plus.
  • Excellent attendance and punctuality are essential.
Supervisory Responsibilities

This role is not a supervisor position.

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
