Summary:
Responsible for providing professional nursing care for clinic patients following established standards and practices. Assists providers in coordinating patient care with surgical procedure and scheduling these procedures. Functions as primary clinical liaison between patients, providers, and hospital departments for surgical procedures in the hospital as well as in the office setting on an as needed basis. The position combines nursing expertise with exceptional organizational and communication skills.
Essential Job Functions :
* Schedule elective, urgent and add-on cases
* Coordinate case scheduling with surgeons, surgical scheduling, and OR scheduling teams. (Including Concord Orthopedics)
* Maintain and manage the surgical schedule making real-time adjustments for cancellations, delays, and urgent add-ons.
* Communicate case details, special equipment needs, implant requirements, and patient specific considerations to the OR team in advance.
* Coordinate with medical device and implant vendors regarding instrument trays, trial sets, and consignment inventory for scheduled cases.
* Contact patients following the surgical consent process to schedule pre-operative appointments, labs, imaging, and clearances.
* Conduct pre-operative nursing assessments and review medical history to identify clinical concerns that may impact surgical planning.
* Ensure all required preoperative testing is ordered, completed, and results are reviewed prior to surgery.
* Coordinate medical clearances with primary care physicians, cardiologists, and other specialists as indicated.
* Educate patients and families on pre-operative instructions including NPO guidelines, medical management, and what to expect the day of surgery.
* Obtain and verify all surgical consents, history and physical documentation, and pre-authorization from insurance carriers.
* Calls specialists to make appointments when appropriate, and as requested by providers.
* Initiate and manage prior authorization requests.
* Track authorization status and follow up with payers to obtain approvals within time frames required for surgical cases.
* Document all preoperative nursing assessments, patient communication, and care coordination activities in the electronic health record (EHR)
* Ensure complete and accurate surgical case documentation is available to the OR team prior to the day of surgery.
* Maintain organized records of pending cases, outstanding clearances, and authorization statuses.
* Serve as the primary nursing contact for surgical patients.
* Address patient questions and concern with clinical knowledge and empathy escalating complex issues to the surgeon or clinical team.
* Communicate surgical time, location, arrival instructions, and day-of-surgery logistics to patients and designated support persons.
* Facilitate interpreter or accommodation services for patients with language barriers or special needs.
* Partner closely with surgeons, PAs, NPs, medical assistants, front office, and billing teams to ensure seamless workflow.
* Collaborate with physical therapy and case management to support post-operative care planning and discharge coordination.
* Participate in surgical schedule review meetings and contribute to process improvement initiatives.
* Support orientation and training of new staff in surgical scheduling workflows and preoperative protocols.
Qualifications:
* Education Required:
High School Diploma or GED NH State licensed RN
* Work Experience
Required:
Minimum 2 years of clinical nursing experience in surgical services, perioperative care, or specialty practice is strongly preferred.
* Licensure/Certification s/Registrations
Required:
RN License in the State of NH
* Other Skills/Knowledge
Required:
Computer, customer services, critical thinking.
Preferred:
Knowledge of medical billing and EMR experience.
Organization and precision managing complex, multi-step scheduling workflows with accuracy and thoroughness.
