Job Description

The Event Coordinator manages the physical logistics and staff execution for our varied portfolio of events. This role requires strong leadership skills to supervise a team of full-time and part-time set-up crew members, ensuring all venues are set-up safely, accurately, and on schedule.

This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Key Responsibilities
  • Team Supervision:
    Schedule, Train, and Manage full-time and part-time set-up staff, assigning clear tasks and monitoring performances.
  • Audio, Visual and Technical Execution:
    Lead the physical deployment, testing, and troubleshooting of all audiovisual equipment, including sound systems, microphones, and projectors.
  • Logistics Execution:
    Oversee the physical set-up of all event spaces, including furniture placement, staging, and audio visual equipment.
  • Vendor Operations:
    Coordinate the arrival, load-in , and load-out of external vendors, ensuring strict adherence to venue timelines.
  • Inventory Control:
    Monitor, track, and maintain the facility's event equipment, furniture, and audio visual assets.
  • Safety Enforcement:
    Ensure all setups comply with local fire codes, safety regulations, and venue capacity limits.
  • Post-Event Breakdown:
    Supervise the breakdown, general cleaning, and restoration of the venue immediately following event conclusions.
Minimum Qualifications
  • Educational

    Experience:

    Bachelor's degree. In lieu of a bachelor's degree, a minimum six years combined education, training, and/or experience may be considered.
  • Leadership

    Experience:

    Minimum of two (2) years supervising teams, preferably with a mix of full-time and part-time staff.
  • Industry Background:
    At least three (3) years of experience in venue operations, event production, or hospitality.
  • Flexible

    Schedule:

    Availability to work non-traditional hours, including early mornings, late nights, weekends, and holidays.
  • Physical Capability:
    Ability to lift and carry up to fifty (50) lbs., stand or walk for extended periods, and perform repetitive physical labor and manual tasks, with or without accommodations.
Preferred Qualifications
  • Technical Expertise:
    Knowledge in operating and troubleshooting audio visual systems, mixers, and display technology.
  • Vendor Operations:
    Prior experience coordinating logistics for internal/external load-ins/load-outs and managing facility equipment inventory.
  • Logistics Execution:
    Skill in organizing complex room layouts, staging setups, and furniture placements.
  • Safety Enforcement:
    Proven understanding of local fire codes, safety regulations, and venue capacity limits regarding event layouts.
Additional Information

Salary will be between $49,750 and $51,000 per year, commensurate with education and experience. Benefits include comprehensive health, dental, and vision; life insurance; disability plan; employee assistance program (EAP); excellent retirement options and company contribution; and generous paid time off/sick leave accrual.
