Job Summary

Under the general direction of the Department Chair, the Temp Administrative Assistant III coordinates and implements an efficient office system for the Department of Physical Therapy Education. Performs administrative assistant work of average difficulty, involving independent judgment, for the Chair, Manager, and faculty of the Department.

Skills and Abilities

Skill:
  • Good computer and Microsoft Office software skills necessary in order to set up document formats, and any other software programs required by this position.
  • Good verbal and written communication skills.
  • Must be able to effectively interact with faculty, staff, administration, students, healthcare professionals, and outside contacts.
  • Ability to communicate with others in person, by telephone, and by E-mail.
Ability to:
  • Ability to work in a fast-paced environment with multiple tasks and be flexible in job assignments.
  • Ability to handle detail-oriented assignments with accuracy and maintain confidentiality.
  • Demonstrate a commitment to working in an organization that values and promotes humanism.
Required Qualifications Education
  • High school diploma or equivalent.
  • Any combination of education, training or experience that provides the required knowledge, skills and abilities.
Experience
  • 2 years of administrative experience or 2 years of experience in a healthcare education program.
Preferred Qualifications Experience
  • Previous experience working in an office setting at a college or university.
Key Responsibilities
  • Assists with correspondence, reports, meetings and general responsibilities related to the Department of Physical Therapy Education.
  • Assists faculty with LMS system, exams/quizzes through Exam Soft. Creates and maintains files for curriculum and student files/documentation.
  • Provides support to department by scanning, managing AV requests, coordination & collation of evaluations of guest speakers, class and room scheduling, textbook adoptions (student, faculty and desk top ordering), and work orders.
  • Assisting with events within the PT department.
Key Responsibilities
  • Responsible for archiving courses and assisting faculty with LMS needs.
  • Assists the Admission’s Committee with interview activities.
  • Maintains and coordinates inventory of equipment for the Department of Physical Therapy Education.
  • Maintains check out logs for DPTE equipment.
Key Responsibilities
  • Assists with accreditation paperwork and on-site materials. Take meeting minutes as needed.

  • Performs other duties as assigned.

  • M-F; 8 AM – 5 PM, some evenings and weekends as needed for events.
