The Office of Admissions, an organizational unit of the Division of Academic Affairs, is responsible for admission activities for all domestic and non-resident undergraduate and graduate students, transfer credit processing, and enrollment planning. The office promotes the image of the university, collaborates with deans and senior management, and ensures compliance with federal, state, CSU system, and university requirements.
Duties and Responsibilities Transfer Credit Processing- Assist with fetching and posting transfer credit work in People Soft and making unit, grade or credit adjustments when necessary.
- Work with all incoming undergraduates, focusing on First Time Freshmen who completed college coursework during high school.
- Ensure accuracy of unit calculation, GPA calculation, and grade averaging, and post transfer credit for articulated coursework with no pre-built People Soft rule.
- Maintain knowledge of Assist.org and Transfer Evaluation System (TES) to determine current articulation rules and post appropriate credit.
- Assist with evaluation of college credit for First Time Freshmen who completed dual enrollment, determining equivalency and transferability based on national guidelines, formal articulation agreements, Title V, and university policies.
- Review and apply approved adjustments to academic requirements and student records ensuring compliance with Title V and university requirements.
- Resolve transfer credit errors and corrections within Admissions scope, re-posting credit for returning transfer students.
- Ensure appropriate credit is given for current articulation terms.
- Assist the International Counselor with posting foreign credit, including study abroad, international transfer credits, and International Baccalaureate (IB) credit.
- Verify and determine eligibility based on self-reported and official documentation.
- Determine equivalence of transfer units to CSU requirements and convert quarter units to semester units.
- Assess upper division transfer eligibility based on GPA, academic standing at last institution, completion of 30 semester/45 quarter units of general education with grades of “C‑” or better.
- Assess lower division transfer eligibility based on freshmen eligibility requirements and completion of college English Composition and college Mathematical concepts with a grade of “C‑” or better.
- Apply knowledge of AP, IB, CLEP, and other standardized test scores to admissions requirements.
- Recalculate the CPP multi-factor admission (MFA) index as needed.
- Maintain knowledge of ASSIST.org and TES to determine course equivalencies.
- Keep working knowledge of Associate Degree for Transfer (ADT) programs, People Soft coding, and impact on student success.
- Process special population applications (Young Scholars, employees, transitory students) and determine California residency for tuition purposes.
- Enter and update applicable information and exemptions into People Soft.
- Verify eligibility for CSU freshman admission by reviewing high school coursework and applying A‑G subject area requirements.
- Update and correct A‑G subject counts in People Soft as necessary.
- Determine eligibility of applicants from non‑traditional schools.
- Assess eligibility based on GED or California Certificate of Proficiency certificates.
- Refer applicants who do not meet regular admission requirements to alternative categories and appropriate supervisors.
- Convert international grades or percentages to U.S. letter grades.
- Calculate overall high school GPA and math/quantitative reasoning GPA.
- Apply AP, IB, CLEP test scores to A‑G subject area requirements.
- Recalculate MFA index as needed.
- Review English, Math, and senior‑year advanced coursework for placement.
- Assist the Associate Director of Admissions with People Soft data maintenance.
- Determine California residency for tuition purposes and request additional documentation as necessary.
