The Office of New Student Programs and Family Engagement, within the Division of Student Affairs, establishes and leads a comprehensive institutional program to encourage and promote a positive partnership and connection with parents and families in support of student’s educational success and persistence to graduation. This unit within the office supports the services and activities for parents and families under one functional administrative structure to ensure optimum coordination and resource management, timely response and referral and identification of additional opportunities to enhance parent/family relations and outreach.
DutiesAnd Responsibilities PROGRAM DEVELOPMENT & COORDINATION
- Together with the Senior Coordinator, plan and implement the Bronco Family Orientation (both in-person and virtual) along with parent and family engagement throughout the year. Tasks include, but are not limited to: implementing program agendas, assisting with room reservations, coordinating event speakers, ordering and preparing materials/catering requests, reviewing and contributing to presentation templates.
- The Coordinator shall develop in collaboration with the senior coordinator, necessary educational sessions/workshops for parents/families that are complimentary to the mission and goals of the University and the Office of New Student Programs and Family Engagement.
- Responsible for exploring additional methods for parent and family engagement with campus community and continued support of new students.
- Along with Senior Coordinator, develop opportunities for additional parent and family engagement that incorporate cross-divisional support and generate additional revenue streams.
- Responsible for the day-to-day operations of parent and family orientation programs including execution of guest check-in process, develop student schedules to meet the needs of the department, delivery of information, facilitation of program components, logistical support, liaison with campus constituents and conflict resolution for parent/family constituent groups.
- Design, develop, implement and evaluate assessment of all parent/family program effectiveness according to national standards and establish learning outcomes.
- Designs, develops and distributes parent/family marketing materials including the accuracy of brochures, postcards, parent resource guide, information pieces, monthly Bronco Family Newsletter, electronic communications, as well as online presence (website/social media).
- Utilize engagement metrics to develop innovative communication strategies and recommend opportunities to build a bridge between the department and academic learning community.
- Market, support and recommend topics for the monthly virtual Bronco Family Chats including, updating presentation, coordinating with guest speakers, finding ways to increase attendance and participation.
- Serve as a parent/family contact and respond to student and family concerns, problems, challenges, as appropriate, including serving as a liaison with other division or campus staff to increase outreach and connection.
- Understand appropriate levels of confidentiality, including privacy laws (FERPA, HIPAA), annual fund and budget management.
- Develop learning outcomes, assessment and programmatic goals for all areas within parent and family engagement.
- Utilize surveys, focus groups, interviews and anecdotal information to inform the program’s decision-making process.
- Develop streamlined reports to present this data as well as think of ways in which to use the data to recommend changes made within the area.
- Benchmark data based on trends in higher education as well as standards in higher education.
- Manage departmental communication platforms, including Bronco Family email inbox, Parent and Family hotline, and social media.
- Recruit, recommend for hire, train, and lead Parent and Family student leader team of approximately 10 students, including orientation leaders and office assistants.
- Ensure recruitment practices are inclusive and yield an applicant pool reflective of the CPP student population.
- Provide task direction, work assignments, performance feedback, conduct expectations, and corrective action.
- Ensure student leaders execute their responsibilities appropriately and effectively as representatives of the department, division, and university.
- Follow all university employment guidelines and comply with labor laws.
- Regularly assess training curriculum for effectiveness and make improvements.
