Position Summary
The Billing Document Support Specialist provides clerical support to the Accounts Payable (AP) team by managing, scanning, and distributing vendor checks and related documents. This role ensures vendor payments are properly documented, organized, and mailed on time, supporting accurate records and smooth AP operations.
• Key Responsibilities
- Open and organize vendor checks by product line
- Scan vendor checks and invoices into the document management system (SharePoint)
- Scan documents from the mailroom to the Billing offshore (Turkish) team
- Scan and save outgoing checks to SharePoint; mail checks with required documentation
- Answer assigned phone queue calls and advise contractors (drivers, translators) on payment/check status
- Occasionally print or copy documents for the Billing team
- Communicate with Billing Specialists to locate or provide check information
- Maintain accurate digital and physical filing for vendor-related documents
- Follow established Billing SOPs to ensure timely and compliant document handling
- High School Diploma or equivalent
- Experience in clerical, office support, or document handling
- Basic computer proficiency (Microsoft Office, scanners, printers)
- Prior accounts payable or vendor documentation support experience
- Familiarity with workers' compensation or healthcare industry
Attention to Detail
Ensure checks and invoices are scanned, filed, and mailed accurately
Organizational Skills
Maintain document order by product line and meet mailing deadlines
Communication
Interact with AP team and contractors professionally via phone and in writing
Time Management
Prioritize scanning, uploads, and check mailings to meet strict timelines
Technical - Basic Systems
Operate desktop scanner, printer, and basic Microsoft Office tools
Relationship Skills
Collaborate effectively with Billing Specialists and offshore team
Document Management
Scan, upload, and store documents in SharePoint and physical files
Work Environment & Physical Requirements
- Typical office environment, in office required
- May require occasional travel
- Ability to sit or stand for extended periods
- Lift up to 5 lbs, if applicable
