COI Verification Administrator

Location: Pompano Beach, FL
Work Schedule: On-site
Salary: $65,000–$85,000 annually

About the Opportunity

Ascendo Resources is representing a well-established and growing construction company in Pompano Beach, FL, seeking an experienced Certificate of Insurance (COI) Verification Administrator to join its team.

This position is responsible for reviewing, tracking, and maintaining subcontractor and vendor insurance documentation to ensure full compliance with company, project, and contractual requirements. The ideal candidate has experience working with construction-related insurance documents, understands ACORD forms and liability endorsements, and is comfortable communicating directly with subcontractors, insurance brokers, and internal project teams.

Key Responsibilities
  • Review subcontractor and vendor certificates of insurance for compliance with contractual and project-specific requirements.
  • Verify coverage limits for general liability, automobile liability, workers’ compensation, employer’s liability, and umbrella or excess liability policies.
  • Confirm that required endorsements are included, such as additional insured status, waiver of subrogation, and primary and non-contributory wording.
  • Identify expired policies, insufficient coverage limits, missing endorsements, and other insurance deficiencies.
  • Communicate with subcontractors, vendors, and insurance brokers to obtain corrected or updated documentation.
  • Track policy expiration dates and proactively request renewals to prevent lapses in coverage.
  • Maintain accurate COI records, compliance logs, insurance databases, and electronic documentation.
  • Ensure subcontractors and vendors are properly verified before being approved to begin work or enter active job sites.
  • Partner with project managers, accounting, operations, safety, and risk-management personnel regarding vendor compliance matters.
  • Provide regular reporting on outstanding insurance deficiencies, upcoming expirations, and vendor compliance status.
  • Assist with audits, claims documentation, and other risk-management or construction-administration projects as needed.
Qualifications
  • 1–3+ years of experience in COI verification, construction administration, risk management, insurance operations, or a related field.
  • Previous experience reviewing insurance documentation for subcontractors or construction vendors is strongly preferred.
  • Bilingual - English & Spanish
  • Strong knowledge of ACORD certificates, insurance coverage limits, liability policies, and common construction-related endorsements.
  • Familiarity with additional insured requirements, waivers of subrogation, and primary and non-contributory language.
  • Proficiency in Microsoft Excel, Outlook, and document-management systems.
  • Experience using construction-management software or specialized COI tracking platforms is a plus.
  • Strong organizational skills with the ability to manage a high volume of documents, deadlines, and follow-up activity.
  • Excellent written and verbal communication skills.
  • High attention to detail and the ability to identify discrepancies in insurance documentation.
  • Ability to work independently while collaborating effectively with internal departments and external business partners.
