Mailing Operations Coordinator
The Mailing Operations Coordinator is responsible for processing Mail.dat files and preparing all required mailing documentation and materials to support efficient production floor operations. This position serves as the primary liaison between data processing and mail production by ensuring that mailing jobs are accurately configured, USPS-compliant, and properly documented.
Duties and Responsibilities:
- Calculate advertising for Periodical permits; markup piece to present to USPS.
- Upload, verify, modify, and transmit postal Mail.dat files using BCC/Monticello and Postal One software to meet customers' required mail dates.
- Log all mailing information (mail date, acro/job, weight, postage paid) into Excel Postal Permit Log spreadsheet.
- Identify and resolve Mail.dat file issues and production discrepancies.
- Verify mail piece weights, dimensions, quantities, and mailing specifications.
- Prepare and distribute production documentation, including job tickets, pallet flags, tray labels, sack labels, container labels, postage documentation, production instructions.
- Ensure all mailing materials and documentation are prepared and available before production begins.
- Coordinate with production staff to ensure mailing instructions are clearly communicated.
- Calculate postage for quotes and cost comparisons for domestic mailings using Postal One software.
- Correspond verbally and in writing with internal and external customers related to postal regulations.
- Monitor compliance with USPS regulations, mailing standards, and postal requirements.
- Assist Account Managers with launching new work.
- Work closely with an in-house USPS clerk to ensure work is processed correctly and mail dates are being met.
- Support Mail line; perform quality control.
- Follow all required safety procedures such as PPEs, ergonomics, performs the job in a manner that protects the health and safety of all employees.
- Other duties as assigned.
Basic Qualifications:
- High School Diploma or GED required.
- Experience working with BCC Software products and Mail.dat processing.
- Strong understanding of USPS regulations, mailing standards, and postal compliance requirements.
- Knowledge of mail production processes, presorting, and postal documentation.
- Strong attention to detail and organizational skills.
- Ability to manage multiple projects and prioritize workload effectively.
- Strong communication (written and oral) and interpersonal skills.
- Proficiency with Microsoft Office applications.
Desired
Skills and Abilities:
- Experience in a commercial print and mail environment.
- Knowledge of Postal One!, eDoc, and Intelligent Mail Barcode (IMb) requirements.
- Experience in preparing production documentation and mailing instructions.
- Self-motivated to work independently with minimal supervision.
- Ability to follow written and verbal instructions.
- Strong organizational skills
- Strong math skills
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to occasionally move about the building and/or the office.
- Ability to lift up to 30lbs occasionally.
