Travel Coordination
- Serve as the primary point of contact for all employee travel requests.
- Coordinate travel arrangements including flights, hotel accommodations, and rental vehicles while adhering to company policies and cost considerations.
- Reconcile travel expenses, ensuring proper documentation and coding to the appropriate department or project.
- Provide assistance for urgent or after‑hours travel‑related issues as needed.
- Maintain a high standard of customer service when supporting employees during travel.
- Assist in processing vendor invoices accurately and in accordance with established financial policies and procedures.
- Assist in preparing and executing the weekly check run.
- Assist in reviewing invoices, statements, and payment documentation for completeness and accuracy.
- Collaborate with buyers, receivers, and vendors to resolve discrepancies promptly.
- Assist in ensuring timely and accurate vendor payments and maintain positive vendor relationships.
- Assist with continuous improvement of accounts payable workflows.
- Minimum of one year of experience in a customer service–driven role, preferably with prior travel coordination experience; previous experience in accounting or a related field is a plus.
- High School Diploma required;
Associate degree in Accounting or a related field preferred. - Proficiency in Microsoft Office applications, with a strong emphasis on Microsoft Excel.
- Excellent written and verbal communication skills.
- Demonstrated accuracy and strong attention to detail in financial and administrative tasks.
- Effective time management skills with the ability to prioritize responsibilities and meet deadlines in a fast‑paced environment.
- Proven professionalism, discretion, and commitment to maintaining confidentiality.
- Customer‑focused mindset with the ability to provide responsive, courteous, and effective support to internal and external stakeholders.
- Strong problem‑solving skills, including the ability to identify discrepancies and resolve issues efficiently.
