General Summary

$37,067 - $50,166. This position is on-site. Are you organized, detail-oriented, and passionate about providing excellent service to the public? Join the County Clerk's team in a role where you’ll combine customer service, technology, and attention to detail to help keep important records and office operations running smoothly.

What You’ll Do
  • Provide friendly, professional reception and customer service to the public, using tact and diplomacy when responding to questions and requests.
  • Search, retrieve, enter, and update records using County and department-specific computer systems.
  • Review information against source documents to identify and correct errors or omissions, ensuring records are complete and accurate.
  • Prepare memos, labels, envelopes, and other properly formatted documents using Microsoft Office and other software applications.
  • Use sound judgment and knowledge of office procedures to address routine issues and take appropriate action when unusual situations arise.
  • Support day-to-day office operations while maintaining accuracy, efficiency, and professionalism.

Minimum Qualifications

EXPERIENCE, TRAINING, KNOWLEDGE, SKILLS & ABILITIES REQUIRED

  • Be a high school graduate or have a certificate of successful completion of the General Educational Development (GED) Test.
  • Have had at least six (6) months of full-time clerical work experience.
Additional Desirable Qualifications
  • Coursework, training, and/or experience in office support methods and technology.
  • Ability to communicate with the public in a clear, polite, and courteous manner.
  • Reasonable knowledge of grammar, spelling, punctuation, and arithmetic.
  • Reasonable ability to follow oral and written instructions.
  • Reasonable ability to write legibly.
  • Reasonable skill and ability in operating a variety of office machines such as photocopiers, computer printers and fax machines.
  • Reasonable ability to make routine decisions in accordance with departmental policies and procedures.
  • Reasonable ability to utilize current word processing, spreadsheet, database, e-mail, and Internet software.
  • Cashiering and cash handling experience.
Essential Job Functions
  • Greets, registers, and assists clients and the public in filling out forms, questionnaires, and applications.
  • Refers clients and forwards messages to proper parties.
  • Responds to inquiries from the public and other customers and stakeholders via phone, email, and in person, using knowledge of the computer system and paper files to research and retrieve information.
  • Confers with County Clerk/Register of Deed supervisors as needed to provide complete responses.
  • Analyzes and extracts pertinent information from relevant documents and accurately enters in the information into the County Clerk/Register of Deeds department databases.
  • Provides in-depth information about programs and services available through the department, referring as needed to updated reference documents and fee listings.
  • Sorts, opens, and distributes in-coming mail and departmental materials.
