Job SummaryWe are seeking a highly organized and proactive Administrative Assistant to contribute to smooth daily office operations. This role involves managing a wide range of administrative tasks in a fast-paced environment, allowing the EA to focus on strategic priorities. The ideal candidate is detail-oriented, professional, and able to work under pressure with short deadlines.
Key Responsibilities- Manage office supplies by monitoring inventory, placing orders, and coordinating equipment maintenance
- Prepare coffee and stock conference rooms according to visitor forms to ensure an excellent customer experience
- Order, set up, and serve catered lunches for meetings as requested
- Plan and coordinate meetings, including preparing agendas, reserving rooms, and setting up facilities
- Ensure meeting spaces are fully prepared and ready for use
- Draft and compose professional emails, memos, and internal communications
- Respond to general inquiries and route requests to the appropriate department or individual
- Organize and maintain physical and digital filing systems for easy retrieval
- Greet and welcome scheduled visitors and direct them appropriately
- Arrange and manage travel schedules and reservations as needed
- Provide administrative support to other departments as time permits
- Perform additional duties as assigned to support overall office operations
- Adhere to all company safety policies and promptly report unsafe conditions
- Participate in team initiatives to support departmental and company goals
- Foster a positive, collaborative, and professional work environment
- Communicate clearly and effectively with employees at all levels
- Maintain confidentiality and safeguard sensitive information
- Uphold the highest standards of honesty, integrity, and professionalism
- Knowledge of general office procedures, including filing, scheduling, and correspondence
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational and time-management skills with keen attention to detail
- Excellent written and verbal communication skills
- Customer service–oriented mindset with professionalism in all interactions
- Experience coordinating travel arrangements and itineraries
- Ability to troubleshoot minor issues and work independently
- Comfortable using office equipment (printers, scanners, video conferencing tools)
- Team-oriented, flexible, and adaptable to changing priorities
- High School Diploma or equivalent (required)
- Post-secondary education preferred, such as an associate degree or coursework in business administration, office management, or a related field
