Position OverviewAs a Registrar Service Specialist at Galen College of Nursing, you will provide consistent, friendly support to students, faculty, and staff; assist with the maintenance of academic records; enforce policies and follow established procedures of the college; and ensure the confidentiality and accuracy of student records.
Key Responsibilities- Provide quality student service, demonstrating the college’s commitment to equitable treatment in registration and academic records.
- Verify that students meet all enrollment and admission requirements, including background checks and admission test thresholds.
- Process readmission students and provide timely notifications of status changes (probation, dismissal, etc.).
- Assist with initial student intake, transfer credit agreements, prerequisite verification, waitlist processing, and repeat registration.
- Assist students with scheduling, add/drop, uniform ordering, and clinical compliance documentation.
- Meet with students routinely to discuss attendance, performance, and program progression; document interactions in Ellucian Colleague.
- Support Academic Leadership by preparing reports and analyses on enrollment, attendance, grades, and other registration data.
- Coordinate with Student Success personnel to ensure students receive necessary support and resources.
- Ensure compliance with institutional policies, procedures, and the Student Catalog, Faculty Handbook, and College policy manual.
- Track and report on student interactions, placement, and participation in campus activities such as orientation, open houses, and graduations.
- Participate in all campus activities that directly interface with students, attending a minimum of three graduations per year.
- Education:
Current pursuit of an Associate degree preferred. - Experience:
Two years’ experience in a college or academic setting preferred. - Knowledge, Skills and Abilities:
Familiarity with current student systems (Ellucian Colleague, Canvas, Unitime, Verified Credentials); understanding of college catalog, policies, procedures; knowledge of state licensure requirements; strong communication and interpersonal skills; ability to work cooperatively with colleagues and students; ability to work under pressure and meet deadlines in a fast-paced environment; proficiency in personal computer use and office equipment. - Physical Requirements:
Ability to walk, stand, sit for long periods; ability to speak clearly and effectively; normal motor skills and eye-hand coordination. - Degree of Supervision:
Moderate supervision.
