The Office Manager is responsible for developing and maintaining efficient office operations, ensuring accurate records and documentation, coordinating administrative processes, supporting clinical and leadership teams, and helping create an organized and welcoming environment for team members and persons served. This position serves as a central resource for office administration, intake coordination, data management, and departmental support.

Key Responsibilities:
- Coordinate office operations to maintain an efficient, organized, and professional work environment.
- Facilitate screening activities by phone and in person to assist individuals seeking services.
- Complete intake documentation, including demographic, release of information, and financial verification paperwork.
- Support hiring managers with onboarding activities and new team member administrative processes.
- Coordinate admissions, transfers, and discharges with billing and clinical teams to ensure timely completion.
- Provide administrative support to clinical staff through preparation of correspondence, forms, reports, and summaries.
- Maintain census information and related program records.
- Conduct chart reviews, assist with filing functions, compile records, and prepare charts as needed.
- Review and submit group logs and related documentation within established time frames.
- Foster positive and professional relationships with referral sources, clients, team members, and community partners.
- Supervise team members and provide leadership support when assigned.
- Perform additional duties as assigned.
Education, Experience, and/or Credential
Qualifications:
- Bachelor's degree from an accredited college or university in Business Management, Business Administration, Health Management, or a closely related field;
- OR
- High school diploma or equivalent with a minimum of four (4) years of experience in office administration, office management, or related administrative functions.
Additional Qualifications:
- Excellent verbal and written communication skills.
- Ability to prioritize responsibilities, manage multiple tasks simultaneously, and meet deadlines.
- Advanced computer proficiency, including Microsoft Word and Excel.
- Knowledge of confidentiality requirements related to mental health and substance use treatment services.
- Strong understanding of organizational policies, procedures, and program operations.
- Exceptional attention to detail and accuracy.
- Current driver's license, acceptable driving record, and current auto insurance required.
- Successful completion of background screenings, including criminal record, driving record, abuse/neglect, and fingerprint checks.
Physical Requirements:
- Perform sedentary work involving exertion of up to 10 pounds of force occasionally and negligible force frequently to move objects.
