Port Arthur Historic Site Management Authority Tourism Operations

This role acts as a key liaison between external partners and internal stakeholders, facilitating seamless visitor arrangements, stakeholder engagement, and operational support to meet organisational and partner expectations.
Primary responsibilities:
- Monitor trade and education email enquiries, manage bookings and amendments, and provide necessary information such as rate sheets, tour and catering details.
- Liaise with teachers and education travel agents to offer expert advice on educational programs and maximise their visit experience.
- Coordinate with internal stakeholders to maintain a positive, collaborative, professional experience for education, trade, and group visitors; provide information to finance for invoicing and produce visitation reports and administrative support.
- Serve as the point of contact for trade agents setting up and managing access to PAHSMA’s digital systems/Agent Portal, in collaboration with the digital team.
- Communicate effectively, think clearly and, when necessary, escalation enquiries to Finance, Education and Tourism managers.
- Participate in a respectful, supportive, high‑performance workplace culture that encourages connection and growth.
- Perform other duties as required.
Qualifications and selection criteria:
- Proven experience delivering visitor information and excellent customer service skills.
- Strong communication skills and ability to build good working relationships with internal and external stakeholders.
- Excellent attention to detail and organisational skills, with adaptability, flexibility, and the ability to prioritise work to meet deadlines.
- Capacity to work independently in accordance with policies and procedures, and as part of a team.
- Problem‑solving ability, using established procedures to make timely and accurate decisions.
- Knowledge and experience in the reservation system used by PAHSMA, including reconciling bookings and producing reports.
- Excellent knowledge and awareness of the experiences offered at the sites.
