Regulatory Compliance Specialist
Position Overview
The Learning & Development Coordinator is responsible for administering and supporting procedural documentation and compliance-related systems across Motiva. This role serves as a key resource for employees, subject matter experts, and business stakeholders by ensuring training materials, procedures, policies, and records are accurate, current, accessible, and compliant with organizational requirements.
Responsibilities- Administer and maintain ATR Smart Procedures, Policy Tech, and other document management systems; manage user access, system functionality, troubleshooting, and process improvements.
- Support system testing, upgrades, and implementation activities.
- Train and support new and existing subject‑matter experts on ATR Smart Procedures and related systems.
- Train new employees during onboarding on Smart Procedures and Policy Tech.
- Develop and maintain training materials, user guides, and procedural documentation.
- Provide ongoing user support and promote adoption of learning and documentation processes.
- Serve as the PAMC Records Focal Point; coordinate and track plant‑wide policy and procedure review compliance.
- Maintain records and documentation in accordance with company requirements and established review schedules.
- Generate compliance reports, metrics, and performance dashboards; analyze data to identify trends, risks, and opportunities for process improvement.
- Collaborate with stakeholders to enhance learning, documentation, and compliance processes; act as liaison to troubleshoot and manage user access issues.
- Participate in compliance‑related audits.
Required
Education and Experience:
- High School Diploma or GED.
- Minimum of 3 years of experience in training administration, document management, records management, compliance support, or systems administration.
- Strong proficiency in Microsoft Excel (data extraction & analysis, compliance and audit reporting, metric tracking and dashboard development, managing large datasets).
- Strong proficiency in Microsoft Word and PowerPoint.
- Experience using enterprise software systems, databases, and document management platforms.
- Ability to create and deliver presentations, training sessions, and learning materials.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing business needs.
- Strong troubleshooting, analytical, and problem‑solving skills.
- Ability to work independently and exercise sound judgment with minimal supervision.
- Effective verbal and written communication skills, including basic technical writing capabilities.
Preferred
Education and Experience:
- Bachelor's degree in Human Resources, Organizational Development, Business Administration, Education, Information Systems, or a related field.
- Experience administering document management systems or compliance platforms.
- Experience with Smart Procedures, Policy Tech, ATR, or similar enterprise document management systems.
- Technical writing experience and/or technical writing certification.
- Experience facilitating classroom, virtual, or on‑the‑job training programs.
- Experience supporting compliance, operational excellence, quality management, or continuous improvement initiatives.
- Familiarity with retention records requirements, governance processes, and document control best practices.
- Knowledge of adult learning principles.
