Job Overview:
To better serve the global auto industry electric vehicle trend in the United States, we are seeking a detail-oriented and resourceful Administrative Services Specialists to join our team. This role involves supporting the Internal Services Manager by handling various administrative tasks, coordinating the relocation of expatriates, managing international travel logistics, and ensuring compliance with company guidelines. The ideal candidate should have strong organizational skills, effective communication abilities, and be comfortable working in a fast-paced environment.
Fluency in both English and Chinese is essential for this role.
Essential Functions
Administrative Functions:
- Provide assistance with the daily management of office operations, including ordering supplies, coordinating facility services, and maintaining a well-organized work environment.
- Support front desk duties by welcoming visitors, answering phone calls, and managing incoming and outgoing correspondence.
- Assist in planning and organizing meetings, conferences, and events, ensuring all logistical requirements are met.
- Facilitate the relocation process for employees moving from China to the U.S., coordinating housing, transportation, and other essential services.
- Collaborate with HR and third-party providers to manage visa applications and ensure compliance with all legal and regulatory requirements.
- Aid in the development and execution of programs to help expatriates and their families integrate into the local culture, providing ongoing support throughout their assignment.
International Travel Management:
- Oversee the arrangements for U.S. employees traveling to China, including booking flights, accommodations, and local transportation, while ensuring adherence to company travel policies.
- Work with HR and legal teams to handle visa applications and ensure that all international travel complies with relevant regulations.
- Provide continuous support for employees during their international trips, resolving any issues that may arise.
Policy Adherence:
- Assist the Administrative Services Manager in enforcing company policies related to administrative operations and travel.
- Ensure that all procedures are in line with company standards and legal requirements, and assist with training staff on these policies.
- Monitor compliance with internal policies, making recommendations for improvements as necessary.
- Collaborate with departments such as HR, finance, and operations to ensure that administrative processes are running smoothly.
- Act as a contact point for inquiries from other departments, offering administrative support and information as needed.
Flexibility and Travel:
- Maintain adaptability in your work schedule to meet the company’s needs, including participating in events and projects outside of regular business hours.
- Be prepared to travel, both domestically and internationally, to support company activities.
Minimum Qualifications
- At least 3 years of experience in an administrative assistant or internal services role, ideally within a corporate setting.
- Previous experience in expatriate relocation and international travel management is preferred.
- Fluency in both English and Chinese is a must for better internal communication.
- Strong organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
- High attention to detail and a commitment to ensuring accuracy in all administrative activities.
- Excellent verbal and written communication skills, with the capability to interact effectively with a diverse group of employees and external partners.
- Problem-solving skills and the ability to address challenges proactively.
- Experience working in a diverse environment, with a good understanding of the needs of expatriates and international business travelers.
- Willingness to adjust to changing circumstances, including working outside regular hours and traveling as necessary.
