Essential Job Functions

The Judiciary Clerk processes criminal cases from filing to case closure, which entails a high volume of data entry for Kent County Circuit Court. Assists customers, attorneys, chambers, and external agencies with status updates and procedural information. Responsible for full function and duties of a Criminal Clerk with assistance to the Civil Department as needed.

Essential Duties And Responsibilities
  • Processes Tasks in Task Manager - Dockets and issue orders, notices, warrants, summons, correspondence, etc. Creates and sends tasks to appropriate recipients when necessary.
  • Files and Serve - Reviews and accepts filings, verifies information including case types, contact information, parties, fees, and filing security type, modifies when necessary. Determines the next appropriate action. E-serve orders and notices to attorneys and outside agencies.
  • Processes paper filings - Reviews, scans, and dockets filings, determines the next appropriate action. Mails orders and notices to appropriate pro se parties.
  • Customer Service - Assists customers in person and by phone, as well as other agencies including Parole and Probation, State's Attorney's office, Sheriff's Office, Detention Centers, etc. Provides information about the status of cases, office/case procedures, and appropriate resources.
  • Daily Deposits - Prepares the daily deposit.
Education

Minimum Qualifications: High school diploma (or GED equivalent).

Experience

One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.

Notes

A Bachelor's Degree may substitute the required work experience.

A Paralegal/Associate Degree or 60 college credits may substitute the required work experience.

A Paralegal Certificate may substitute the required work experience.

Knowledge, Skills, And Abilities
  • Knowledge Of: General office practices, procedures, and equipment. Standard legal forms and documents used in the Judiciary. Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
  • Skill In: Customer service and handling problems tactfully and patiently. Typing on a personal computer. Accuracy and attention to detail.
  • Ability To: Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, scanner, fax machine, etc. Use and maintain alphabetical and numerical filing systems. Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing. Understand and abide by departmental rules, regulations, and procedures.

    Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys. Follow procedures, verbal and written instructions, and protocols for any given assignment. Use proper grammar, punctuation, and spelling. Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation. Multitask while maintaining a high level of accuracy.
Physical Requirements

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
