Overview
We are seeking a responsible and professional Administrative Assistant to perform a variety of administrative and clerical tasks for a local industrial client. This individual will be working at the client’s site and will be providing and coordinating administrative support to the site’s Maintenance Department.
Responsibilities- Understand and execute assigned Maintenance Work Process responsibilities
- Execute assigned work process responsibilities at or by the prescribed times and as required / designed
- Provide planning support – create, monitor, and manage Service and Materials purchase requisitions in SAP as required by the Maintenance Planners
- Provide Work Execution support
- Backlog Management Support – run weekly work order job step reports and send reports to appropriate recipients for review and close work order per review responses
- Work Order and Notification Closure support
- General Tasks
- Monitor and report Work order / Notification backlog
- Assist with maintaining & tracking Material & Service Requisition s & Purchase Orders (increases, deliveries,etc.)
- Enter Service & Material Requisition s as requested (for multiple departments)
- Interface with Maintenance Planners and Schedulers and other personnel at the site as needed
- Working Computer Knowledge with good data entry skills, typing ability, and ability to navigate a computer.
- Proficient with Microsoft Word, Excel, PowerPoint, Outlook
- Excellent written and oral communication and interpersonal skills
- Ability to have and maintain a good relationship with others
- Ability to meet deadlines and understand priorities
- Ability to manage a fast‑paced, dynamic work environment
- Be proactive and recognize a need and handle the need without being prompted
- Accounting or equivalent background is helpful; math skills and thought application are crucial
- Able to master SAP for the Maintenance Work Process
- Demonstrate excellent organization and time management skills to manage a variety of daily, weekly, monthly, quarterly, and yearly time‑sensitive duties
- Detail oriented
- Previous experience with industrial maintenance work processes and documentation is previous
