Job Description

Purpose Statement

Provide complex and confidential secretarial and administrative support to the school‑site principal and other administrators; convey information regarding school functions and procedures; ensure efficient operation of support functions; and coordinate assigned projects and site activities.

Essential Functions
  • Compile data from a wide variety of sources (e.g., student information, time sheets, calendars, expenditures/budget) to prepare reports and make recommendations.
  • Coordinate a variety of projects, functions and program components (e.g., meetings, in‑service events, substitute coverage, travel) to deliver services in a timely fashion.
  • Maintain manual and electronic documents, files and records (e.g., budget data, employee records, financial records) in compliance with guidelines and legal requirements.
  • Monitor various activities on behalf of the assigned administrator (e.g., program components, meeting arrangements, account balances) to meet goals and target dates.
  • Monitor students referred for illness or disciplinary action to ensure student welfare and a secure office environment.
  • Oversee work activities within the office (e.g., staff and student workers) by organizing assignments, monitoring progress and ensuring completion.
  • Prepare a wide variety of reports, documents and correspondence (confidential and non‑confidential) to document activities or convey information.
  • Present information on administrative procedures to orient new personnel and disseminate information to existing personnel.
  • Process a variety of documents and materials (e.g., time sheets, work orders, requisitions, travel reimbursements, budget transfers) in compliance with guidelines and regulatory requirements.
  • Procure supplies and materials to maintain availability of required items.
  • Reconcile building budget and staff absences for accurate reporting.
  • Research a variety of topics (e.g., current practices, policies, education codes) to provide information, recommendations or address administrative requirements.
  • Respond to inquiries from internal and external parties to provide information and facilitate communication.
  • Support assigned administrative personnel with their functions and responsibilities.
  • Support assigned administrator (e.g., in/out building) to gather and convey information.
Other Functions
  • Perform other related duties as assigned (e.g., answer phones, train new office staff, attend meetings, trainings, workshops) to ensure efficient and effective functioning of the work unit.
Job Requirements

Minimum Qualifications

Skills, Knowledge, and Abilities

Skills required include operating standard office equipment, using pertinent software applications, preparing and maintaining accurate records, and performing basic bookkeeping and record keeping.

Knowledge required includes basic math, reading and writing manuals, and solving practical problems. Specific competencies include grammar and punctuation, basic bookkeeping principles, business telephone etiquette, and use of common office machines.

Abilities required include scheduling activities, gathering and collating data, using job‑related equipment, working with a diversity of individuals and groups, meeting deadlines, working as part of a team, and handling interruptions.

Responsibilities

Work under limited supervision, direct other persons within a small work unit, monitor budget expenditures, and utilize resources from other work units.

Work Environment

The role requires some lifting, carrying, pushing, and/or pulling; stooping, kneeling, crouching, and crawling; fine finger dexterity; approximately 80% sitting, 10% walking, 10% standing.

Experience

Job‑related experience with increasing levels of responsibility is required.

Education (Preferred)
