Purpose Statement The job of Office Coordinator
- Information Technology Services is done for the purpose/s of providing complex and confidential administrative support to department administrators and staff; conveying information regarding department functions and procedures; ensuring efficient operation of support functions; and coordinating assigned projects and site activities.
Essential Functions:
- Assists staff, students, families, community members, and vendors (e.g. troubleshooting, notification setting, class/group creation, etc.) for the purpose of providing information, guidelines and other services.
- Compiles data from a variety of sources (e.g. bids/quotes, purchase orders, expenditures/budget, research, etc.) for the purpose of preparing reports and making recommendations to department administrators.
- Coordinates a variety of projects, functions and/or program components (e.g. network and program log-in/passwords, voicemail access code, third-party vendor accounts, etc.) for the purpose of ensuring accurate user access to buildings and compliance with digital data.
- Maintains a wide variety of manual and electronic documents, files and records (e.g. budget data, employee records, financial records, inventory/surplus records, meeting minutes, safety records, reports, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Monitors a variety of activities on behalf of assigned administrators (e.g. account balances, work order status, etc.) for the purpose of achieving goals and meeting target dates.
- Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
- Prepares a variety of documents (e.g. correspondence, agendas, minutes, event programs, bulletins, reports, board action forms, webpages, tipsheets, etc.) for the purpose of communicating information and/or creating documentation in compliance with established guidelines.
- Processes documents and materials (e.g. time sheets, work orders, requisitions, travel reimbursements, budget transfers, public works/capital projects, student data privacy agreements, summer student enrollment, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements.
- Procures and inventories equipment, supplies and materials for the purpose of supporting department operational functions and maintaining availability of required items.
- Reconciles department budget, and financial records (e.g. expense reimbursements, credit card transactions, travel documents, etc.) for the purpose of maintaining accurate account balances.
- Represents department administrators to both internal and external parties (e.g. staff, vendors, etc.) for the purpose of providing timely customer service.
- Researches a variety of topics (e.g. current practices, policies, education codes, etc.) for the purpose of providing information and/or recommendations that address a variety of administrative requirements.
- Responds to a variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information or direction and/or facilitating communication among parties.
