Job Summary

The Deputy Clerk III provides judicial support for all three judicial branches and the court commissioner by processing documents, mail, faxes and proposed orders for each of these court sections. The Deputy Clerk III serves as the backup when the Deputy Clerk IV is unavailable due to paid time off, by clerking court calendars and providing court management to each court official.

This position is the gatekeeper to the courts by providing customer service over the main phone line for the office, handling frequently hostile customers with complaints over the phone regarding their cases, reviewing the case with the customer and attempting to resolve the customer’s complaint by offering solutions. This position is also responsible for jury management.

Essential Functions and Responsibilities 45% Case Management
  • Process all new electronic case filings for Family, Paternity, Large Claims, Small Claims, Criminal Traffic, Criminal Misdemeanor, Criminal Felony, Termination of Parental Rights, Adoptions, Juvenile Delinquent, Juvenile in Need of Protection.
  • Review completeness by comparing transferred data with documents submitted by the litigant, often adding or correcting data transferred to ensure all parties are properly noted. Determine appropriate non-party notice recipients, following variations by case type. If documents filed for Safe Haven or Protected Party Address, ensure party information is sealed and not available to the public.
  • Ensure documents are in compliance with Supreme Court Rules and Local Rules before accepting them into case management.
  • Attach other documents to record events, link documents for efficient review, and follow the naming convention policy created by management.
  • Determine whether a hearing date is required, schedule necessary hearings per court general direction. If no hearing is needed, schedule the appropriate clerk’s review.
  • Mark documents as confidential or sealed using model recordkeeping provided by Court Operations, and review access restrictions for all documents.
  • Make notations in the case and route the case to Deputy Clerk III. Review, add notes and determine if additional security, interpreter, GAL, public defender referral, or bond is required.
  • Process eFiled Domestic Abuse, Harassment and Person at Risk Restraining Orders. Forward petition and proposed temporary restraining orders to the Court Official, schedule hearings, create or revise proposed injunction orders, and coordinate with Sheriff’s Department for service.
  • Bulk‑scan all paper mail, review for completeness, adjust scanning settings, verify legibility, and process documents into the case. Follow up on scheduling hearings or forward to Deputy Clerk IV for review.
  • Manage faxes received in email PDF format, determine case number when absent, add case number and file stamp, and attach to the case. Follow up on hearings or forward to Deputy Clerk IV.
  • Prepare orders for upcoming hearings or based on the 5/10 day rule. Note routing of orders in the case.
  • Process signed/denied orders, review for scrivener errors, and return to court official if necessary. If no errors, process the order, schedule hearings, close cases, enter judgments, distribute orders to parties and manage financial distribution with the Controller.
  • Create and manage case dispositions, using the correct disposition codes affecting WCCA visibility. Facilitate record retention and purge assistance.
  • Handle changes of venue by completing required dispositions, adding the next-county record, ensuring fees are paid, and electronically sending the case to the next county.
  • Process appeals, send initial appeal documents to the Court of Appeals, meet statutory timelines, index the entire case, and follow COA orders.
  • Renumber cases when necessary to reflect the correct charge or payment status.

  • Establish annual jury array from list generated by CCAP, create monthly jury pools, and mail questionnaires to all potential jurors to determine qualifications.
