Fresh out of school and looking for a role where you'll actually get to do things — not just fetch coffee? As our Administrative & Front Desk Specialist, you'll be the welcoming first point of contact for our organization while building real, transferable skills in communications, project coordination, and administrative operations. Compensation

Minimum: $40,836. Maximum: $52,504. Starting pay is based on experience.

What You'll Do

  • Be the friendly, professional first point of contact — welcoming visitors and handling calls with confidence.
  • Screen calls and visits, and direct people to the right person or department across the organization.
  • Collect, sort, and distribute mail and courier deliveries.
  • Coordinate meetings and manage conference room logistics, from scheduling to setup.
  • Maintain a safe, clean, and secure reception area, including visitor check-in/check-out procedures.
  • Own communications tasks: proofread, draft emails, and prepare correspondence for internal and external audiences.
  • Build and manage an organized digital filing system, safeguarding confidential documents.
  • Provide general administrative support to team members across multiple departments.
  • Run the organization's social media presence and help maintain the website.
  • As you grow into the role, take on additional responsibilities such as tracking vendor contracts, monitoring purchases, and maintaining policy documentation.
  • Take on short-term projects and new challenges as they come up — no two days are exactly the same.

Requirements for the Administrative & Front Desk Specialist Role

To be considered for the Administrative & Front Desk Specialist position, applicants must have:

  • An associate degree in business or a related field.
  • Strong written and verbal communication skills.
  • Working knowledge of Microsoft Office 365 (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain the highest level of confidentiality when handling sensitive information.
  • Ability to work primarily in an office environment, including frequent sitting, standing, and walking, and to occasionally lift up to 20 lbs.
  • Reliable availability for hourly, non-exempt scheduling, including hybrid days as designated by agency policy.

  • A genuine interest in people, and a supportive attitude toward diverse backgrounds and life experiences.
  • Bachelor's degree a plus, but not required.
  • Bonus points for experience with social media management or website maintenance.

Prior administrative experience is a plus, but we know everyone starts somewhere — internships, campus leadership roles, part-time jobs, and student organization experience all count.
